Job summary

Grass Valley in Krakow is seeking an Account Specialist – Order Management to ensure accurate and timely entry, processing, and management of customer orders for a defined portfolio. The role links customers with Sales, Project Management, Finance and manufacturing to optimize order fulfillment.

You will work with ERP and CRM systems, ensure correct pricing and specifications, and communicate updates across departments to meet customer requirements.

Qualifications

• Experience in Order Management, Customer Service, Sales Operations, or similar customer-focused role.
• ERP experience required; SAP experience is an advantage.
• CRM experience; Salesforce experience is an advantage.
• Advanced English, both written and spoken.
• Strong knowledge of Microsoft Excel and MS Office.
• Excellent organizational and time-management skills.
• Attention to detail with high accuracy.
• Ability to meet deadlines, especially month-end.
• Strong prioritization and problem-solving skills.
• Ability to work independently and take ownership of responsibilities.
• Strong communication and collaboration across departments and with customers.

Responsibilities

• Process new customer sales orders in the ERP system, ensuring accuracy of equipment, details, and pricing.
• Manage changes to customer requirements and inform stakeholders.
• Prepare and send Order Acknowledgements and Shipment Schedule documentation.
• Monitor and follow up daily on all assigned orders to ensure timely progress and delivery.
• Coordinate with manufacturing teams to meet customer timeframes.
• Communicate order updates and potential delays to Project Managers, Sales, and customers.
• Resolve Credit Holds and issues with Sales and Finance to prevent delays.
• Respond to internal and external inquiries promptly via email and phone.
• Ensure orders are shipped and invoiced accurately and timely.
• Process RMAs and Credit Notes for returned equipment.
• Maintain accurate order information and documentation throughout the lifecycle.
