Job summary

Pillar Health Solutions is seeking an Operations Lead (Remote, Full-time) to design and optimize the operational engine behind its wellness programs for physician practices. You will own onboarding, patient engagement, provider coordination, and revenue workflows in a growing healthcare environment.

Responsibilities include building SOPs, dashboards, and automated processes, while measuring outcomes and driving continuous improvement.

Qualifications

• 2+ years of experience in healthcare operations, program management, or related fields.
• Experience owning processes and outcomes beyond basic admin tasks.
• Strong understanding of patient scheduling, provider coordination, and healthcare workflows.
• Demonstrated ability to identify problems, investigate causes, and implement solutions.

Responsibilities

• Own new practice onboarding from agreement to launch, including referral, scheduling, communication, and billing workflows.
• Oversee the patient journey from referral to ongoing engagement and monitor cancellations/no-shows to improve retention.
• Coordinate operationally with dietitians, exercise professionals, and support staff for availability and capacity.
• Monitor documentation and billing information flow between providers, Pillar, and partner practices; resolve issues delaying billing or revenue.
• Map workflows, identify bottlenecks, and redesign processes to improve speed, accuracy, and accountability; create SOPs, trackers, dashboards, and templates.
• Track KPIs across referrals, scheduling, engagement, and provider utilization; report on risks and action items.
• Evaluate tools to simplify operations and use AI/automation to improve reporting and workflow management.
• Translate leadership priorities into clear operational plans with owners and timelines; surface risks and propose solutions.
