Job summary

Pillar Health Solutions seeks an Operations Lead to build and run the operational engine behind our outsourced wellness programs. This remote, full-time role focuses on scalable processes across physician partners, staff, patients, and providers.

You'll own onboarding, patient engagement, scheduling, documentation, billing workflows, and KPI reporting, while applying AI/automation to reduce repetitive work and improve performance. The role evolves as we scale.

Qualifications

• 2+ years experience in healthcare operations or related field.
• Own processes and outcomes, not just tasks.
• Strong scheduling, coordination, and healthcare admin workflows.
• Identify operational problems, investigate root causes, and implement solutions.
• Excellent written and spoken English.
• Ability to manage multiple priorities in a fast-moving environment.
• Experience creating SOPs, workflows, dashboards, or operational systems.
• Detail-oriented with patient data, documentation, billing information.

Responsibilities

• Own onboarding from agreement through launch, incl. referrals, scheduling, communication, documentation, and billing workflows.
• Serve as operational point of contact for physician partners and staff.
• Oversee patient journey from referral through outreach, scheduling, first appointment, and ongoing engagement.
• Coordinate with dietitians, exercise professionals, and staff for availability and coverage.
• Monitor documentation, billing information flow between providers, Pillar, and practices.
• Map workflows, identify bottlenecks, and redesign processes to improve speed and accountability.
• Track KPIs across referrals, scheduling, engagement, and provider utilization.
• Translate leadership priorities into clear operational plans with timelines and owners.
• Use AI/automation to improve reporting, workflow management, and documentation.
