Job summary

Pillar Health Solutions is seeking an Operations Lead for a remote, full-time role to build and run its operating engine. The role collaborates with physician partners, practice staff, patients, dietitians, and support teams to streamline referrals, scheduling, documentation, and billing workflows.

You will own onboarding, patient journeys, provider coordination, revenue operations, SOPs, dashboards, and KPI reporting, with a path to scalable systems as the company grows.

Qualifications

• 2+ years in healthcare operations or related fields.
• Experience owning processes and outcomes beyond routine tasks.
• Strong knowledge of patient scheduling, provider coordination, and admin workflows.
• Ability to identify operational problems, investigate root causes, and implement solutions.
• Strong organizational, analytical, and problem-solving skills.
• Excellent written and spoken English.
• Experience creating or improving SOPs, dashboards, or workflow systems.
• Attention to detail with patient data and billing information.
• Ability to manage multiple priorities in a fast-moving startup.
• Comfort with learning new tools and processes independently.
• Practical experience using AI/automation to improve operations.

Responsibilities

• Own new practice onboarding from agreement through launch, including referral, scheduling, and billing workflows.
• Serve as operational contact for physician partners and practice staff.
• Oversee the patient journey from referral to ongoing engagement.
• Monitor cancellations, no-shows, and scheduling delays; drive improvements.
• Coordinate with dietitians, exercise professionals, and support staff for capacity.
• Monitor scheduling, documentation, and provider responsiveness.
• Track documentation and billing flow; resolve delays in billing or revenue.
• Map workflows, identify bottlenecks, and redesign processes for speed and accountability.
• Build SOPs, dashboards, templates, and standardized workflows.
• Track KPIs across referrals, scheduling, engagement, and provider utilization.
• Evaluate AI/tools to simplify operations and reporting.
• Translate leadership priorities into clear operational plans with owners and timelines.
• Surface risks early with recommended solutions.
