Job summary

RunRemote is seeking a Service & Operations Manager to support a Sydney-based HVAC business. This fully remote role coordinates quotes, scheduling, suppliers and customers, while ensuring timely communication and accurate records.

The position is offered to independent contractors as a direct-hire, with AU hours in mind. The ideal candidate has strong admin skills, excellent English, and experience coordinating field teams plus familiarity with Excel, Xero and CRM systems.

Qualifications

• Six or more years in office administration or operations coordination for services.
• Excellent written and spoken English with Australian customers and suppliers.
• Proficiency with Excel, pricing data and spreadsheets.
• Experience using Xero, Google Calendar and CRM/field service software.
• Highly organised, with strong time management and multi-tasking.

Responsibilities

• Monitor incoming customer inquiries and emails; action promptly.
• Prepare, organize and send customer quotes based on team input.
• Follow up on quotes with customers within 1–2 days.
• Coordinate and schedule confirmed jobs based on technician availability.
• Optimize technician routes to minimise travel time and maximise utilisation.
• Coordinate multiple technicians across Sydney, allocate additional staff as needed.
• Communicate job requirements and changes to technicians; confirm with customers.
• Prepare and process purchase orders; manage supplier deliveries.
• Assist with invoices, supplier invoices, receipts and accounts receivable follow-ups.
• Maintain pricing and customer data in Excel and business systems; manage calendars and CRM.
• Support AI receptionist system and handle ad hoc projects as required.
