RunRemote is seeking a Service Dispatch & Operations Manager to support a Sydney-based HVAC business. This 100% remote, full-time role focuses on coordinating quotes, scheduling, suppliers and customers, with strong English communication and admin skills.

You will manage quotes, plan technician schedules, process purchases, and keep pricing and customer data up to date in Excel. The role aligns with Australian hours and offers direct-hire opportunities.

Qualifications

• 6+ years in office administration, operations coordination, scheduling or similar roles.
• Proven ability to support Australian businesses and customers.
• Strong Excel skills and pricing data handling.
• Experience with Xero, Google Calendar and CRM/field service software.
• Excellent written and spoken English, professional communication.

Responsibilities

• Monitor incoming customer enquiries and emails and ensure prompt action.
• Prepare, organise and send customer quotes based on team information.
• Follow up on quotes with customers 1–2 days after sending.
• Coordinate and schedule confirmed jobs based on technician availability and location.
• Optimize technician schedules and routes to minimise travel time and maximise utilisation.
• Coordinate multiple technicians across Sydney and allocate to larger jobs as needed.
• Communicate with technicians about schedules and changes.
• Coordinate with customers to confirm bookings and job details.
• Prepare and process purchase orders for suppliers; ensure timely delivery.
• Maintain pricing, job and customer data in Excel and business systems.
• Manage Google Calendar; assist with CRM and job management platforms.
