Job summary

Pillar Health Solutions seeks an Executive Assistant & Operations Partner to build and continuously improve the operational engine behind the organization. This hands-on role collaborates with leadership to align physician practices, staff, patients, and internal teams, driving actionable improvements.

You will own projects, improve scheduling and onboarding, develop SOPs and dashboards, and leverage AI to reduce repetitive work, measuring outcomes to ensure impact.

Qualifications

• 2+ years of experience in operations, program management and client success
• Experience owning processes and outcomes rather than only completing administrative tasks
• Strong understanding of patient scheduling, provider coordination, documentation, healthcare administrative workflows, and service operations
• Demonstrated ability to identify operational problems, investigate root causes, and independently implement solutions
• Strong organizational, analytical, and problem-solving skills
• Excellent written and spoken English
• Strong communication skills and confidence interacting with physicians, practice staff, healthcare professionals, patients, and senior leadership
• Experience creating or improving SOPs, workflows, dashboards, trackers, or operational systems
• Strong attention to detail, particularly with patient information and billing data
• Ability to manage multiple priorities in a fast-moving environment
• Comfortable learning unfamiliar tools and processes independently
• Practical experience using AI, automation, or technology to improve business processes

Responsibilities

• Organize priorities, coordinate projects, manage follow-ups and deadlines.
• Turn leadership discussions into clear action plans, coordinating with stakeholders and tracking progress.
• Prepare meeting summaries, presentations, reports, and materials to support decision-making.
• Coordinate daily operational activities involving physician practices, patients, providers, and internal teams.
• Support onboarding, scheduling, provider coordination, documentation, and other healthcare workflows.
• Identify operational inefficiencies, resolve recurring issues, and create or improve SOPs, checklists, templates, and standardized processes.
• Maintain spreadsheets, dashboards, trackers, and performance reports to monitor activities.
• Analyze data to identify trends or issues and provide actionable insights to leadership.
• Leverage AI tools and automation to streamline tasks and improve reporting.
