Job summary

BruntWork is seeking a highly organized DME Intake & Documentation Specialist to coordinate end-to-end DME orders in a fast-paced remote healthcare startup. You will handle data entry, audits, and documentation with HIPAA compliance, collaborating with clinics and providers to secure signed SWOs and obtain complete clinical records.

The role emphasizes proactive ownership, strong communication with patients and offices, and the ability to manage multiple cases in a dynamic remote

Qualifications

• 1–2 years of administrative support, patient services, healthcare operations, or DME/referral coordination.
• Experience managing orders, documentation, follow-up, and patient/provider workflows in healthcare or DME.
• Strong Parachute Health and HubSpot experience.
• Proactive, organized, and willing to own workload in a fast-paced remote startup.

Responsibilities

• Manage the full DME order lifecycle from referral to fulfillment.
• Audit prescriptions, orders, and SWOs for CMS/MAC compliance before release to operations.
• Coordinate with provider offices to secure signed, complete, and compliant SWOs and documents.
• Monitor pending DME orders to minimize turnaround times and resolve bottlenecks.
• Handle high-volume calls, emails, and secure document transmissions with patients and offices.
• Maintain HIPAA-compliant, audit-ready client files and communications across systems.
• Document and escalate order exceptions or gaps to speed resolution.
• Provide general admin support and data entry in evolving workflows.
• Collaborate with DME ops to identify bottlenecks and drive process improvements.
