Job summary

BruntWork is seeking a highly organized DME Intake & Documentation Specialist to support end-to-end coordination of Durable Medical Equipment orders. You will manage referrals, audit SWOs and CMS/MAC compliance, communicate with patients and clinics, and maintain audit-ready records while using Parachute Health and HubSpot.

Qualifications

• High school diploma or equivalent (associate degree preferred).
• 1–2 years of experience in administrative support, patient services, healthcare operations, or DME/referral coordination.
• Must have strong Parachute Health and HubSpot experience.
• Experience managing orders, documentation, follow-up, and patient/provider workflows within a healthcare or DME environment is strongly preferred.

Responsibilities

• Manage the full DME order lifecycle from referral to final fulfillment with precise data entry and case tracking.
• Audit prescriptions, orders, and SWOs for accuracy, medical necessity, and CMS/MAC compliance before release to operations.
• Coordinate with healthcare providers via phone, email, and fax to secure signed, complete, and compliant SWOs and documentation.
• Monitor and track pending orders through the documentation and approval lifecycle to minimize turnaround times.
• Maintain meticulous documentation of all client files and communications in line with HIPAA and privacy policies.
• Collaborate with the DME operations team to identify bottlenecks and improve processes.
