Qualifications

  • Bachelor's degree in Human Resources Management, Psychology, Business Administration, or a related field.
  • Experience in recruitment, HR administration, or a similar HR-related role is preferred.
  • Knowledge of end-to-end recruitment and onboarding processes is an advantage.
  • Familiarity with HRIS/ESS systems is preferred.
  • Proficient in Microsoft Office applications, particularly Excel and Word.
  • Strong organizational and coordination skills.
  • Good written and verbal communication skills.
  • Detail-oriented and able to handle confidential employee information.
  • Ability to manage multiple tasks, meet deadlines, and coordinate with different stakeholders.
  • Willing to work in a fast-paced and operational environment.

Responsibilities

  • End-to-end recruitment support: sourcing, screening, interview coordination, job offer preparation, and hiring documentation.
  • Coordinate with Hiring Managers on manpower requirements, vacancies, endorsements, and interview schedules.
  • Prepare and process job offers and employment contracts; handle pre-employment documents.
  • Coordinate requisitions for tools and requirements for new hires; liaise with manpower agencies.
  • Assist in onboarding: conduct orientations and ESS training; ensure proper endorsement to departments.
  • Maintain accurate recruitment records and candidate files; manage HRIS/ESS data and agency records.

Job description

The Recruitment Assistant supports the end-to-end recruitment and onboarding process by coordinating with hiring managers, candidates, manpower agencies, and internal departments. The role is responsible for recruitment administration, job offer and contract preparation, employee onboarding, HRIS/ESS data management, agency coordination, and monitoring of probationary employee requirements.

Key Responsibilities
1. End-to-End Recruitment & Hiring
  • Assist in the end-to-end recruitment process, including sourcing, screening, interview coordination, job offer preparation, and hiring documentation.

  • Coordinate with Hiring Managers regarding manpower requirements, vacant positions, candidate endorsements, and interview schedules.

  • Prepare and process Job Offers (JO), employment contracts, and other pre-employment documents.

  • Coordinate the requisition and preparation of trade tools and other requirements for newly hired employees.

  • Facilitate the hiring and replacement of employees in coordination with manpower agencies and concerned departments.

  • Maintain accurate and updated recruitment records and candidate files.

2. Employee Onboarding & Orientation
  • Conduct New Employee Orientation (NEO), Code of Conduct Orientation, and Employee Self-Service (ESS) Training for newly hired employees.

  • Assist newly hired employees in completing onboarding and pre-employment requirements.

  • Train newly hired Managers on ESS timekeeping procedures and basic system navigation.

  • Ensure that new employees are properly endorsed to their respective departments and concerned stakeholders.

3. ESS/HRIS Administration
  • Manage the 201 Module in ESS, including the encoding and updating of new employee information, shift schedules, payroll details, and other employee records.

  • Ensure accuracy and completeness of employee information entered into the ESS system.

  • Coordinate with relevant departments regarding employee data, timekeeping, payroll, and system-related concerns.

  • Maintain confidentiality and proper handling of employee records and personal information.

4. Agency Coordination & Administration
  • Coordinate with manpower agencies regarding employee hiring, deployment, replacement, and other employment-related concerns.

  • Monitor and validate agency employee Daily Time Records (DTR).

  • Prepare and transmit checked agency DTRs to the Payroll Team within the required timelines.

  • Maintain updated records of agency personnel and coordinate with agencies regarding discrepancies or attendance concerns.

5. Employee Performance Monitoring
  • Monitor the completion and submission of 3rd-month and 5th-month performance evaluations for probationary employees.

  • Coordinate with Managers and immediate supervisors regarding performance evaluation schedules and submission.

  • Prepare and process Notices of Performance Assessment (NPA) based on the results and requirements of the evaluation process.

  • Maintain organized records of employee performance evaluations and related documentation.

6. Administrative & HR Support
  • Provide administrative support for recruitment and other HR-related activities.

  • Prepare reports, trackers, and monitoring sheets related to recruitment, onboarding, agency personnel, and employee status.

  • Coordinate with internal departments to ensure timely completion of recruitment and employee-related requirements.

  • Perform other related duties and responsibilities that may be assigned by the immediate supervisor.

Qualifications
