Role Overview
The Procurement Executive will be responsible for managing the end-to-end procurement process, ensuring timely sourcing of materials, equipment, and services required for Param's exhibits, events, workshops, and operational needs. This role requires strong vendor management skills, a solid understanding of procurement procedures, and the ability to coordinate effectively with internal teams to meet project requirements.
Key Responsibilities
- Manage the complete procurement cycle, including sourcing, vendor evaluation, price negotiation, and purchase order creation.
- Identify reliable vendors and maintain strong supplier relationships.
- Coordinate with internal teams to understand procurement needs for exhibits, workshops, events, and maintenance.
- Ensure timely procurement of materials, equipment, and consumables while maintaining cost efficiency.
- Review and compare quotations, negotiate contracts, and finalise purchase agreements.
- Track order status, delivery timelines, and follow up with vendors for timely fulfilment.
- Maintain accurate procurement records, documentation, and vendor databases.
- Collaborate with the inventory and logistics teams to ensure smooth material flow and resolve supply-related issues.
- Ensure compliance with organisational procurement policies and quality standards.
- Assist in budget planning by providing cost estimates and procurement forecasts.
Required Skills & Qualifications
- Bachelor’s degree or diploma in supply chain management, logistics, business administration, or related fields.
- 2–4 years of experience in procurement, purchasing, sourcing, or supply chain roles.
- Proficiency in Microsoft Excel and familiarity with procurement or ERP software.
- Strong negotiation, communication, and vendor management skills.
- Excellent organisational skills with a strong eye for detail.
- Ability to manage multiple procurement tasks and meet deadlines.
- Knowledge of basic contract terms and procurement compliance.
Preferred Qualifications
- Experience working in science centres, museums, educational institutions, or event-driven environments.
- Familiarity with technical materials, lab equipment, tools, or exhibit-related components.
- Understanding of inventory coordination and logistics workflows.
- Prior experience handling procurement for events or exhibitions.
