Role Overview

We need a Practice Better expert who can step into a client's account, audit what's set up, and fix or rebuild it so the client's workflow actually works for them. This is a hands-on, start-to-finish role — you'll be the go-to Practice Better resource across multiple client accounts.

BizEx (The Business Expander) is a turnkey virtual assistant and digital support agency helping health and wellness professionals grow and scale online. We work with functional medicine doctors, nutritionists, therapists, coaches, and wellness brands to bring structure, systems, and strategy into their businesses—so they can focus more on serving their clients and less on day-to-day management.

Beyond individual practices, we also partner with system integrators who serve the same space. Together, we help them build both sides of their business—from marketing and funnel execution to backend operations and automation—creating seamless support for their health and wellness partners.

What You’ll Be Doing:

Audit client Practice Better accounts: client intake, forms, scheduling, billing, automations, and integrations

Identify inefficiencies, gaps, or misconfigurations and provide a clear, prioritized recommendation report

Rebuild or optimize workflows, automations, and templates based on findings

Set up and manage client intake forms, packages, invoicing, and scheduling rules

Troubleshoot platform issues and serve as the go-to expert across client accounts

Train coaches/practitioners or their staff on best practices and new workflows

Stay current on Practice Better updates and proactively recommend improvements to clients

You’ll Thrive in This Role If You Have:

Demonstrated hands-on experience running a coaching or wellness business inside Practice Better (not just familiarity — real expert-level use)

Ability to audit a live account and produce a practical, prioritized fix list

Comfortable with backend configuration: automations, forms, billing setup, integrations

Strong documentation habits — you leave things better organized than you found them

Independent problem-solver who can manage multiple client accounts without step-by-step direction

Nice to have:

Experience with other practice management platforms (Practice Better, Healthie, SimplePractice, Acuity, etc.)

Background in the wellness or health coaching industry

Basic understanding of HIPAA or client data privacy considerations

Experience creating SOPs or training documentation

Comfort with light automation tools (Zapier, Make, etc.) for cross-platform workflows

This is a contract-based role, and hours will depend on the client package assigned. You’ll start with one test account, and grow into more if your performance is solid. Client packages range from 20 to 200 hours/month, shared with the rest of the team.
