Job summary

Ubiquity is seeking a Payroll Associate to deliver end-to-end payroll processing for a dynamic team in the Philippines. You will consolidate timekeeping, manage leave tracking, and prepare 2316 and final pay for resignations while ensuring accuracy in payroll reports and statutory remittances.

You will investigate payroll queries, provide clear guidance to employees, and support HR and Finance with audits and year-end processes.

Qualifications

• Must have payroll processing experience in a BPO or shared services.
• Deep knowledge of manual tax computation, overtime, night differential, and holiday premiums.
• Experience with BIR annualization processes is highly preferred.
• Ability to work across HR and Finance dependencies and processes.
• Stay updated on payroll regulations and country-specific payroll information.
• Demonstrates a customer-first mindset and service orientation.

Responsibilities

• In-charge of end-to-end payroll processing.
• Consolidate Timekeeping Reports from different departments.
• In-charge in tracking employee leaves.
• Prepares 2316 and Final Pay for resigned employees.
• Prepares payroll reports, journal entries, funding requirements and other reports for Finance.
• Investigate and resolve payroll queries and disputes.
• Prepare user manuals for employee use.
• In-charge in processing government remittances (HDMF, Philhealth, SSS) and loans monthly.
• Reconcile year-to-date income and prepare Alpha listing for BIR submission.
• Attend payroll inquiries from employees and conduct payroll orientation for new hires.
• Identify and propose process improvements and assist with special projects.

What You’ll Do:

• In-charge of end-to-end payroll processing.
• Consolidate Timekeeping Reports from different departments.
• In - charge in tracking the leaves of employees.
• Prepares 2316 and Final Pay computation for the resigned employees.
• Prepares payroll reports, journal entries, funding requirements and other needed reports that will be requested by the Finance team.
• Investigate and resolve payroll queries and accommodate payroll disputes ahead of time.
• Prepares user manual for employee use.
• In - charge in processing of Government statutory such as HDMF, Philhealth and SSS Remittances and Loans every month.
• Reconciliate year to date income and prepare the Alpha listing report to be submitted to BIR.
• With in depth knowledge in manual computation of tax, overtime, night differential etc.
• Intensive experience in processing of BIR annualization.
• Prepared Alphalist and liaised to the BIR for submission of Year Tax annualization related documents.
• Attend inquiries of the employees regarding Payroll and benefits.
• Conduct payroll orientation for new hires.
• Understand the dependencies that exist within the HR and Finance department.
• Identify and propose solutions for process improvements.
• Assist with special projects, as requested.

What We’re Looking For:

• Has an experience processing payroll for a BPO or Shared Services Company for 1-2 years.
• With in-depth knowledge in manual computation of tax, overtime, night differential, holiday premiums, and/ or time-based deductions etc.
• Intensive experience in processing of BIR annualization.
• Understand the dependencies that exist within the HR and Finance department.
• Must be updated with Payroll Regulations and Information of the country
• Must possess a "customer first" mindset
