Job Summary
The Operations Supervisor is responsible for overseeing the daily operations of the rent-a-car business, ensuring vehicle availability, excellent customer service, fleet readiness, and efficient coordination among drivers, mechanics, customer service, and administrative staff. This role ensures that company policies, safety standards, and operational procedures are consistently implemented while maximizing fleet utilization and customer satisfaction.
Key Responsibilities
1. Daily Operations Management
- Supervise the daily rental operations and ensure smooth workflow.
- Monitor vehicle availability and fleet allocation.
- Coordinate vehicle dispatch and return schedules.
- Ensure timely vehicle releases and customer handovers.
- Resolve operational issues affecting customer service.
2. Fleet Management
- Monitor the condition and utilization of all company vehicles.
- Coordinate preventive maintenance and repairs.
- Ensure vehicles are clean, roadworthy, and fully fueled before release.
- Monitor vehicle registration, insurance, and permit renewals.
- Track vehicle downtime and recommend improvements.
3. Customer Service
- Ensure excellent customer experience from reservation to vehicle return.
- Address customer concerns, complaints, and service recovery.
- Coordinate with Sales and Reservations for special requests.
- Monitor customer feedback and recommend service improvements.
4. Driver and Staff Supervision
- Supervise drivers, fleet coordinators, dispatchers, and operations staff.
- Prepare work schedules and assignments.
- Conduct regular performance coaching.
- Monitor attendance, productivity, and discipline.
- Ensure compliance with company policies and safety standards.
5. Vehicle Dispatch & Logistics
- Plan daily vehicle assignments based on reservations.
- Monitor GPS (if applicable).
- Coordinate airport, hotel, and corporate client pickups.
- Ensure efficient routing and scheduling.
- Monitor vehicle turnaround time.
6. Safety and Compliance
- Ensure compliance with LTO regulations and company policies.
- Investigate vehicle incidents and accidents.
- Maintain complete operational records.
- Monitor driver's licenses and certifications.
- Ensure vehicles comply with safety requirements.
7. Inventory & Asset Management
- Monitor vehicle keys and accessories.
- Ensure GPS units, RFID tags, and emergency kits are complete.
- Conduct regular vehicle inspections.
- Coordinate inventory of operational supplies.
8. Reporting
Prepare daily, weekly, and monthly reports including:
- Fleet utilization
- Vehicle availability
- Rental transactions
- Vehicle maintenance status
- Customer complaints
- Driver performance
- Operational incidents
- Fuel consumption
- Accident reports
9. Continuous Improvement
- Identify operational bottlenecks.
- Recommend process improvements.
- Develop SOPs for rental operations.
- Support digital transformation initiatives.
- Participate in management meetings.
