Job summary

Pacific Carriers Limited is seeking a Crew Coordinator in Metro Manila to manage crew changes, verify certificates, coordinate with vessels and agents, and ensure efficient travel arrangements. You will also handle prejoining briefings, crew engagement activities, and related administrative tasks.

The role requires experience in marine crew operations, strong communication, and organizational skills to liaise across multiple stakeholders in a fast-paced environment.

Qualifications

  • Degree/Diploma in HR/Crew Management/Maritime Studies or equivalent.
  • 2+ years of experience handling marine crew.
  • Strong knowledge of international crewing regulations (flag state, STCW, ILO, MLC2006).
  • Team orientation and ability to manage cross-cultural crew in a dynamic environment.
  • Positive, growth-oriented mindset with ability to work independently and adapt to challenges.
  • Strong communication, interpersonal, organizational, and administrative skills with multitasking ability.

Responsibilities

  • Liaise and coordinate with BU & Crewing Managers on crew change plans
  • Assist Crewing Managers on planning of crew changes for vessels assigned
  • Liaise and coordinate with vessels, port agents and stakeholders on crew change plans
  • Ensure crew line-up to join ship are available and ready per schedule
  • Evaluate and verify crew documents and certificates for joining ships
  • Communicate with recruitment team and accredited manning agents on crew requirements
  • Coordinate flight bookings with accredited travel agencies and ensure required travel documents
  • Coordinate with BU, agents, vessels, and stakeholders on flight bookings and related invoicing
  • Monitor PEME results and receipt from concerned accredited medical clinic
  • Update embarkation/disembarkation details in Crew Management System (CMS) and client/flag-state systems
  • Ensure joiners’ documents are complete and uploaded in CMS prior departure
  • Dispatch documents/certificates to vessels, crew, and overseas offices
  • Raise working gear for joining seafarers as necessary
  • Perform other crewing-related tasks as assigned

Job Summary

Key Responsibilities

Crew Operations:


  • Liaise and coordinate closely with BU & Crewing Managers on crew change plans

  • Assist Crewing Managers on planning of crew changes for vessels assigned

  • Liaise and coordinate with vessels, port agents and relevant stake holders on crew change plans

  • Ensure crew line-up to join ship are available and ready per schedule

  • Evaluate and verify crew’s documents and certification to ensure that crew line-up to join ship hold valid documents and certificates, complying to company and charter’s certification and training requirements

  • Communicate and coordinate with recruitment team and accredited manning agents on crew requirements

  • Communicate with accredited travel agencies on flight booking requirements and provision of required travel documents to ensure the cost-effective and timely flight is attained;

  • Communicate with BU, agents, vessels, related stake-holders with respect to the arranged flight bookings and other matters related to the crew change (e.g. CTMs, Pre-fundings and related invoicing process and other requests from vessel and Principal)

  • Monitor and follow ups PEME result and its receipt from concerned accredited medical clinic

  • Update embarkation and disembarkation details in Crew Management System (CMS) and required client’s / flag-state system

  • Ensure that all the documents and requirements of the joiners are physically complete and uploaded onto CMS prior departure

  • Dispatch of documents/certificates to vessels, crew, overseas office as required

  • Raise requisite and issuance of working gear for concerned joining seafarers as necessary

  • Performs any other crewing related functions assigned by BU immediate superior


Crew Engagement


  • Crew prejoining briefing and offsigning debriefing sessions

  • Crew Seminar and Workshop


Administrative Duties


  • Process PO for crewing related purchases and services

  • Verify crew claims

  • Any other administrative tasks


Key Requirements


  • Degree/Diploma in HR/Crew Management/Maritime Studies preferred

  • At least 2 years of experience handling marine crew

  • Good knowledge of international crewing regulations including flag state requirements, STCW, ILO, MLC2006

  • Strong team orientation and ability to manage cross cultural crew and relationships in a dynamic, fast-paced environment

  • Demonstrates a positive, growth-oriented mindset with the ability to work independently, adapt to challenges, and remain resilient in a dynamic environment.

  • Possesses strong communication, interpersonal, organizational, and administrative skills, with the ability to manage multiple priorities effectively and collaborate with diverse stakeholder.
