Job summary

MicroSourcing is seeking a Corporate IT Operations Coordinator to manage the lifecycle of virtual payment cards, invoices, and procurement within a hybrid Eastwood-based role. You will coordinate IT meetings, maintain vendor records, and ensure accurate documentation for audits while overlapping US Pacific Time hours.

• Proven experience in IT operations coordination or related administrative roles.
• Strong organizational and time-management skills for multiple requests and invoices.
• Excellent attention to detail in financial and vendor records.
• Strong written and verbal communication with stakeholders and teams.
• Willingness to work a night shift with overlap to US Pacific Time.

Responsibilities

• Coordinate full lifecycle of virtual payment cards: intake, tracking, assignment, rotation, cancellation.
• Maintain records linking cards to subscriptions, requesters, owners, and budgets.
• Reconcile monthly statements and investigate discrepancies or inactive cards.
• Identify cards for cancelled or unused services and coordinate closures.
• Track IT invoices from receipt to payment and follow up on pending items.
• Route invoices through approval workflows and keep audit-ready documentation.
• Track procurement orders with vendors, Finance, and Procurement on quotes and status.
• Maintain vendor records including contacts and contract dates.
• Coordinate calendars, agendas, logistics for IT meetings and vendor calls.
• Capture notes, decisions, and actions; monitor items to completion.
• Prepare recurring reports on IT spend, order status, and outstanding actions.
