Phoe nagon Trading Inc. is seeking an HR Associate to support day-to-day HR and Admin operations in Pasig.
The role covers HR operations, recruitment, onboarding, payroll processing, and government transactions while maintaining confidential employee records. The successful candidate will handle attendance monitoring, leave management, and reports, assist in employee relations, training, and development activities, and coordinate with suppliers for administrative needs.
Phoenagon Trading Inc. is looking for a HR Associate to join our team and support the day-to-day operations of our Human Resources and Administration functions.
The ideal candidate is organized, detail-oriented, proactive, and capable of handling confidential employee information while providing timely assistance to employees and department heads.
HR Operations & Attendance
Monitor daily employee attendance, tardiness, undertime, and absences.
Review and validate attendance records, leave applications, and supporting documents.
Monitor employee schedules, work assignments, and attendance concerns.
Maintain and update employee records, masterlists, organizational charts, and 201 files.
Monitor leave balances, regularization, contract expiration dates, and other HR deadlines.
Prepare HR reports, headcount reports, and manpower reports for management.
Recruitment & Onboarding
Handle recruitment inquiries and applicant communications.
Screen and evaluate applicants based on job requirements.
Schedule interviews and coordinate with hiring managers.
Conduct initial HR interviews.
Prepare employment contracts and other hiring documents.
Coordinate pre-employment requirements and document submission.
Facilitate new employee onboarding and orientation.
Monitor probationary employees and regularization requirements.
Payroll, Benefits & Government Transactions
Prepare payroll inputs based on attendance, leaves, overtime, and other adjustments.
Review payroll computations and assist in addressing employee payroll concerns.
Process and monitor SSS, HDMF/Pag-IBIG, and PhilHealth transactions.
Monitor employee loans, deductions, and government loan records.
Process employee HMO/PhilCare-related concerns and requests.
Monitor employee benefits and eligibility.
Prepare employment certificates and other employee certifications.
Employee Relations & Compliance
Respond to employee HR/Admin inquiries and concerns.
Provide HR guidance and assistance to employees and department heads.
Handle employee disciplinary concerns and prepare necessary documentation.
Prepare Notices to Explain (NTEs), memoranda, warnings, and other disciplinary documents.
Assist in implementing and communicating company policies, procedures, and advisories.
Maintain confidentiality and proper safekeeping of employee records.
Coordinate with government agencies regarding HR/Admin concerns.
Monitor HR compliance requirements and deadlines.
Employee Movement & Training
Conduct exit interviews.
Process resignation, clearance, and separation documents.
Coordinate employee training, seminars, and development activities.
Maintain employee training and seminar records.
Monitor and maintain employee documentation throughout the employee lifecycle.
Administrative Support
Manage office supplies and administrative requirements.
Monitor office, pantry, and equipment inventory and stock levels.
Prepare and process replenishment and purchase requests.
Coordinate supplier orders, deliveries, and proper storage of supplies.
Coordinate with suppliers, contractors, and service providers.
Process administrative purchase requests and quotations.
Coordinate office repairs, maintenance, and facility concerns.
Assist in coordinating company events, activities, and employee engagement programs.
Prepare and maintain company administrative records and files.
Perform other HR and administrative tasks as assigned by management.
Bachelor’s degree in Human Resources, Psychology, Business Administration, Management, or a related field.
Preferably with 1–2 years of experience in HR or HR/Admin operations.
Experience in attendance monitoring, payroll preparation, recruitment, employee records, and government-mandated benefits is an advantage.
Knowledge of Philippine labor laws and HR practices is preferred.
Familiarity with SSS, PhilHealth, Pag-IBIG/HDMF, and HMO processes is an advantage.
Strong organizational and administrative skills.
Excellent attention to detail and ability to handle confidential information.
Good written and verbal communication skills.
Proficient in Microsoft Office and Google Workspace, particularly Excel/Google Sheets.
Ability to manage multiple tasks, meet deadlines, and work with minimal supervision.
