We are looking for a highly organized, proactive, and detail-oriented HR Specialist to join our growing team. The HR Specialist will be responsible for supporting and executing various Human Resources functions, including recruitment, employee relations, timekeeping, payroll support, compensation and benefits administration, labor compliance, employee documentation, and HR operations.
The successful candidate will work closely with the General Manager, Director, clients, department heads, and the HR Team to ensure the effective implementation of HR policies, company procedures, and labor law compliance while providing excellent HR support to employees and management.
Key Responsibilities
- RECRUITMENT AND TALENT ACQUISITION
- Manage the full-cycle recruitment process, including sourcing, screening, interviewing, scheduling, reference checking, job offers, and onboarding.
- Coordinate with department heads and clients regarding manpower requirements and recruitment timelines.
- Prepare and post job advertisements through JobStreet, LinkedIn, Facebook, and other recruitment platforms.
- Conduct initial interviews and candidate assessments.
- Maintain recruitment reports and applicant databases.
- Coordinate pre-employment requirements and onboarding activities.
- EMPLOYEE RELATIONS
- Serve as the primary point of contact for employee concerns and HR-related inquiries.
- Address employee concerns professionally while maintaining neutrality and confidentiality.
- Coordinate with managers regarding employee disciplinary matters, coaching, counseling, and performance concerns.
- Assist in conducting investigations, drafting Notices to Explain (NTE), Incident Reports, Notices of Decision, and other employee relations documents.
- Promote positive employee engagement and workplace culture.
- HR OPERATIONS
- Implement and monitor Company policies and procedures.
- Prepare employment contracts, memoranda, certificates, HR letters, and other employee documentation.
- Maintain accurate employee records while ensuring confidentiality.
- Monitor employee movements, including hiring, regularization, promotions, transfers, and separations.
- Assist in performance evaluation and employee development initiatives.
- TIMEKEEPING AND PAYROLL SUPPORT
- Monitor employee attendance, leave applications, overtime, undertime, and schedule changes.
- Review and verify attendance records before payroll processing.
- Assist in payroll preparation by ensuring attendance records and payroll data are accurate.
- Perform payroll computations, including overtime, holiday pay, leave conversions, salary adjustments, deductions, and final pay computation.
- Coordinate payroll concerns with employees and management.
- COMPENSATION AND BENEFITS
- Administer government-mandated benefits, including SSS, PhilHealth, Pag-IBIG, and BIR requirements.
- Coordinate HMO enrollment and employee benefit administration.
- Process employee benefit applications and government loan documentation.
- Maintain employee compensation and benefits records.
- LABOR LAW COMPLIANCE
- Ensure Company compliance with Philippine labor laws and government regulations.
- Provide guidance to management regarding labor standards and employment regulations.
- Assist in implementing legally compliant HR policies and disciplinary procedures.
- Keep updated with DOLE advisories, labor regulations, and HR best practices.
- GOVERNMENT AND COMPLIANCE BENEFITS
- Assist in processing and renewing Company permits, licenses, and government registrations.
- Coordinate with government agencies regarding HR-related compliance requirements.
- Maintain records of statutory reports and compliance documents.
- CLIENT AND MANAGEMENT COORDINATION
- Coordinate regularly with clients regarding manpower requirements, employee concerns, deployment, and HR-related matters.
- Work closely with the General Manager, Director, department heads, and HR Team regarding operational and strategic HR initiatives.
- Prepare HR reports requested by Management and clients.
- Attend meetings with clients and Management as required.
- REPORTS AND DOCUMENTATION
- Prepare HR reports, recruitment reports, manpower reports, turnover reports, attendance summaries, and other HR analytics.
- Maintain accurate HR records and documentation.
- Ensure proper filing and safekeeping of confidential HR documents.
- OTHER RESPONSIBILITIES
- Maintain strict confidentiality of employee and Company information.
- Support HR projects and continuous process improvements.
- Perform other HR and administrative duties assigned by Management.
Qualifications
- Bachelor's Degree in Human Resource Management, Psychology, Business Administration, or any related field.
- At least three (3) years of progressive experience in Human Resources, preferably as an HR Generalist or HR Specialist.
- Experience handling end-to-end recruitment is required.
- Strong knowledge of Philippine Labor Code, labor relations, and employment laws.
- Experience in employee relations, disciplinary procedures, and performance management.
- Knowledgeable in payroll processing, payroll computation, timekeeping, and attendance administration.
- Experience in compensation and benefits administration, including SSS, PhilHealth, Pag-IBIG, BIR, and HMO.
- Basic knowledge of government permits, statutory compliance, and business registrations.
- Experience coordinating with clients, senior management, and cross-functional teams.
- Proficient in preparing HR reports and documentation.
- Proficient in Microsoft Office (Excel, Word, PowerPoint) and Google Workspace.
- Excellent verbal and written communication skills.
- Strong organizational, analytical, and problem-solving skills.
- Ability to multitask and work effectively in a fast-paced environment.
