Job summary

Manila Hearing Aid is seeking an HR Associate who will assist in various HR functions including training needs assessment, onboarding, and employee engagement activities. This role involves maintaining training documentation, supporting new hires, and helping coordinate employee wellness programs.

The ideal candidate should possess a degree in Human Resources or a related field along with at least 1 year of relevant experience, demonstrating strong organizational skills and a passion for HR.

Qualifications

Job description

Training Needs Assessment & Planning
  • Support in developing tools to assess learning and development needs.
  • Collect and organize data for training needs analysis.
  • Assist in the preparation and execution of the annual training plan.
  • Coordinate logistics for training sessions (venue, schedules, materials, invites).
  • Prepare training documentation such as attendance sheets, evaluation forms, and completion reports.
  • Consolidate post-training evaluations and prepare summary reports.
  • Maintain training database and learning records.
New Hire Onboarding and Retention Monitoring
  • Assist in the preparation and delivery of onboarding/orientation programs for new hires.
  • Assist during the New Employee Orientation (NEO) by preparing materials, attendance, and documentation.
  • Track new hire milestones (30-60-90 days) and follow up on onboarding progress.
  • Assist in coordinating engagement initiatives to support new hire assimilation.
  • Coordinate with different departments to ensure onboarding requirements are complete.
  • Monitor completion of onboarding checklists and gather feedback from new hires.
  • Maintain onboarding records and ensure timely submission of required reports.
Culture & Engagements
  • Support HR in coordinating employee engagement activities and programs.
  • Assist in organizing workshops, team building, and recognition programs.
  • Help distribute and collect engagement surveys and feedback forms.
  • Consolidate survey results and assist in preparing reports for management.
  • Coordinate logistics for engagement activities (venue, materials, suppliers).
  • Maintain documentation of engagement activities.
Training Records Management
  • Create, maintain and update the employees training records and training database.
  • Ensure all training records (attendance sheets, evaluation forms, certificates, materials) are properly organized, encoded, filed, and secured.
  • Track and monitor employees’ mandatory training requirements (e.g., onboarding, compliance training, technical modules) and notify concerned departments of upcoming or overdue requirements.
  • Ensure data accuracy and completeness of training documents for audit compliance (audits, DOLE, etc.).
  • Maintain an electronic and physical filing system aligned with record retention policies.
Regularization and Documentation
  • Prepare and track Probationary Evaluation Forms for new hires.
  • Follow up with Department Heads/Immediate Supervisors regarding timely submission of evaluation results.
  • Maintain a Regularization Monitoring Log to ensure “NO DEFAULT REGULAR” and all required documents are complete before deadlines.
  • Assist Managers in preparing recommendation memos for regularization, extension, or non-regularization.
  • Ensure employees receive their regularization confirmation letters and that records are properly filed.
Other Duties
  • Performs other job-related functions that may be assigned from time to time.
Qualifications
  • College graduates preferably in Human Resources Management, Psychology, Behavioral Science, Education, and other allied courses.
  • At least 1 year experience in HR, Training, or administrative roles.
