JOB PURPOSE
The HR Supervisor is responsible for the day-to-day supervision, implementation, monitoring, and follow-through of HR activities under the direction of the HR Manager. The position is responsible for ensuring that HR policies are properly implemented, employee concerns are appropriately addressed, HR records are accurate and updated, and HR operations are conducted consistently and in accordance with company standards.
A. HR Daily Operations
- Supervise the daily activities and assignments of HR Assistants.
- Ensure assigned HR tasks are completed accurately and within deadlines.
- Monitor pending HR requirements and follow up with concerned personnel.
- Implement HR procedures and instructions approved by the HR Manager.
- Maintain proper organization of HR documents and records.
- Provide the HR Manager with regular updates on completed and pending HR activities.
- Identify operational concerns and immediately report them to the HR Manager.
B. HR Compliance and Implementation
- Monitor employee compliance with existing company policies and procedures.
- Conduct routine checking of HR requirements and implementation.
- Follow up with employees and Department Heads on incomplete or delayed requirements.
- Document instances of non-compliance and submit them to the HR Manager.
- Ensure approved HR policies and procedures are properly communicated and implemented.
- Monitor whether departments are following established HR processes.
C. Employee Records and Documentation
- Maintain and update employee 201 files and HR records.
- Check completeness and accuracy of employee documents.
- Monitor submission of required employee documents.
- Maintain organized records of HR forms, notices, evaluations, attendance, leave, and other HR documents.
- Ensure confidentiality and proper handling of employee information.
- Prepare routine HR reports and monitoring records for review by the HR Manager.
D. Attendance and Leave Monitoring
- Monitor daily attendance, tardiness, absences, undertime, overtime, and leave records.
- Check attendance records for completeness and accuracy.
- Monitor leave applications and supporting documents based on approved company procedures.
- Follow up on missing or incomplete attendance and leave documents.
- Prepare attendance and leave monitoring reports.
- Report recurring or significant attendance concerns to the HR Manager.
E. Recruitment and Onboarding Administration
- Coordinate interview schedules and applicant requirements based on recruitment instructions from the HR Manager.
- Maintain applicant records and recruitment monitoring sheets.
- Coordinate pre-employment document submission.
- Facilitate the administrative requirements of employee onboarding.
- Ensure new employees complete required company documents.
- Coordinate orientation schedules as instructed by the HR Manager.
- Maintain updated records of newly hired employees.
F. Employee Relations Support
- Receive and document routine employee concerns.
- Address basic employee inquiries based on existing company policies and approved guidelines.
- Refer sensitive, complicated, or unresolved concerns to the HR Manager.
- Maintain proper documentation of employee concerns and actions taken.
- Monitor compliance with instructions given to employees regarding employee-related matters.
- Maintain confidentiality in handling employee concerns.
G. Training Administration
- Coordinate training schedules and attendance based on programs approved by the HR Manager.
- Prepare training materials, attendance sheets, and other administrative requirements.
- Monitor employee attendance and completion of assigned training.
- Maintain updated employee training records.
- Follow up with employees and Department Heads regarding pending training requirements.
- Submit training documentation and completion reports to the HR Manager.
- Consolidate completed evaluation documents for submission to the HR Manager.
- Monitor probationary evaluation schedules and ensure timely submission.
I. HR Team Supervision
- Assign daily and routine tasks to HR Assistants based on instructions from the HR Manager.
- Monitor the completion and quality of HR Assistant outputs.
- Provide day-to-day guidance to HR Assistants.
- Conduct regular follow-ups on assigned tasks.
- Monitor attendance, productivity, and work discipline of HR staff.
- Report performance concerns involving HR staff to the HR Manager.
- Ensure proper coordination and teamwork within the HR department.
J. Coordination and Follow‑Up
- Coordinate with Department Heads regarding routine HR requirements.
- Follow up on documents, evaluations, attendance concerns, and other HR requirements.
- Communicate HR instructions that have been approved by the HR Manager.
- Monitor deadlines and ensure timely completion of HR-related requirements.
- Maintain professional communication with employees and department representatives.
REQUIRED QUALIFICATIONS
- Bachelor's degree in Human Resources, Psychology, Business Administration, Management, or a related field.
- At least 2–4 years of relevant HR experience, preferably with supervisory or team‑lead experience.
- Knowledge of basic HR practices, company policies, employee documentation, and HR procedures.
- Good organizational and monitoring skills.
- Strong attention to detail.
- Good written and verbal communication skills.
- Ability to handle confidential information properly.
- Proficient in Microsoft Office or Google Workspace.
- Ability to supervise and coordinate an HR support team.
