John Clements Consultants, Inc. is seeking a Workforce Scheduling Coordinator to support hospital and clinical departments across a US healthcare network in a fast-paced scheduling environment.

You will build and balance daily, weekly, and shift schedules, coordinate with department leaders, ensure coverage, and help optimize staffing while maintaining data accuracy and timely payroll records.

Qualifications

• Bachelor's degree in Business, Data Management, or related field.
• At least 1 year of experience with staffing, workforce management, or scheduling software.
• Strong attention to detail and comfort working with data, reports, and systems.
• Excellent communication skills coordinating with department leaders.
• Ability to work night shift in a hybrid setup.

Responsibilities

• Build and edit staff schedules in the electronic scheduling system, following hospital policies and department guidelines.
• Partner with department managers to prepare accurate daily, weekly, and shift schedules based on forecasted staffing needs.
• Review, approve, or deny schedule requests (time off, shift changes, preferences) and communicate decisions to leaders.
• Balance and publish schedules once self-scheduling periods close, ensuring full and efficient coverage.
• Assign specialty roles based on each unit's operational and skill-mix requirements.
• Track vacancy rates by role and department; post incentive shifts to proactively close staffing gaps.
• Maintain accurate daily coverage in the staffing system and flag open shifts for recruitment.
• Prepare and distribute staffing and scheduling reports to leadership.
• Review and maintain timecards for accuracy, resolve discrepancies, and prepare records for manager sign-off before payroll close.
• Join staffing meetings and trainings, and contribute ideas for process improvement.
• Support onboarding or training on scheduling systems for new team members when needed.
