Job Summary
The Centralized Scheduling Coordinator is responsible for developing and optimizing workforce schedules, maintaining timekeeping accuracy and supporting staffing operations for designated healthcare departments. This role helps ensure appropriate staffing coverage, workforce efficiency and compliance with scheduling and payroll policies.
Operating within a Global Business Services environment, this role supports cross-functional collaboration, operational excellence and service delivery outcomes for U.S. healthcare operations.
What you'll do
- Create and maintain employee schedules within workforce management and scheduling systems in accordance with organizational policies and staffing requirements.
- Collaborate with department leaders to develop daily, weekly and shift schedules based on forecasted staffing needs and operational demands.
- Review employee scheduling requests including paid time off, schedule changes and shift preferences while ensuring alignment with established guidelines.
- Balance and publish schedules following self-scheduling periods to maintain appropriate staffing coverage and operational efficiency.
- Assign specialty and unit-specific roles based on workforce requirements, skills and coverage standards.
- Monitor staffing vacancies and anticipated coverage gaps and coordinate incentive shift postings in accordance with organizational policies.
- Maintain accurate staffing schedules and open shift requirements using electronic workforce management systems.
- Support workforce planning efforts by aligning scheduling decisions with projected patient census, workload demands and budget considerations.
- Prepare and distribute staffing, scheduling and workforce management reports to leaders and stakeholders.
- Review and validate employee timecards to ensure accuracy, compliance with pay practices and adherence to employment status requirements.
- Resolve timekeeping discrepancies and prepare timecards for management review prior to payroll processing deadlines.
- Participate in staffing meetings, process improvement initiatives and workforce management training activities.
- Support onboarding and end-user training related to scheduling and workforce management technologies.
- Collaborate with internal stakeholders to improve scheduling processes, data accuracy and service delivery outcomes.
What you'll bring
Experience
- 1+ years of experience using workforce management, staffing or scheduling software required.
- Experience supporting workforce scheduling, staffing coordination or timekeeping processes required.
- Previous experience in a healthcare environment preferred.
- Knowledge of workforce planning, schedule optimization and timecard management required.
- Knowledge of healthcare staffing operations preferred.
- Strong attention to detail, analytical skills and problem-solving capabilities.
- Effective communication and cross-functional collaboration skills.
Education
- Bachelor's degree in Business Administration, Data Management or a related field required.
Certifications
- UKG Workforce Management Certification (UKG) preferred.
