The Workforce Scheduling Specialist is responsible for developing and maintaining employee schedules that support staffing coverage, operational efficiency and workforce planning objectives. Operating within a Global Business Services environment, this role partners with healthcare leaders and U.S.-based teams to support scheduling operations, timekeeping accuracy and workforce optimization across assigned departments.
Create and maintain employee schedules within workforce management and scheduling systems based on staffing needs and operational requirements
Collaborate with department leaders to develop daily, weekly and shift schedules that align with forecasted staffing demands
Review and process schedule requests including paid time off, schedule changes and employee preferences according to established policies and leadership guidance
Balance and publish schedules following self-scheduling periods to ensure appropriate staffing coverage and workforce efficiency
Assign specialty roles based on approved staffing models and skill mix requirements
Monitor staffing vacancies and proactively post available shifts to address anticipated workforce gaps
Maintain accurate schedule data and open shift management within workforce management systems
Support staffing decisions using projected patient volumes, workforce needs and budget considerations
Prepare and distribute staffing, scheduling and workforce reports for operational leaders
Review employee timecards for accuracy and compliance with organizational policies
Resolve timekeeping discrepancies and validate employee hours prior to payroll review and processing
Collaborate with managers and workforce teams to improve scheduling effectiveness and service delivery outcomes
Participate in workforce planning meetings, training sessions and continuous improvement initiatives
Provide basic user support and guidance related to scheduling systems and processes
Experience
1+ years of experience in workforce scheduling, staffing coordination or workforce management systems required
Knowledge of employee scheduling processes and timekeeping administration required
Experience using workforce management or scheduling software required
Knowledge of healthcare staffing operations preferred
Experience supporting healthcare organizations or hospital environments preferred
Knowledge of workforce forecasting, staffing optimization and reporting preferred
Education
Bachelor’s degree in business administration, Data Management or a related field required
Certifications
United Kingdom Group Workforce Management (UKG) Certification preferred
