About the role
As Executive Management Assistant, you will be the organisational backbone for our executive team, managing schedules, communications, and key projects that directly impact the business. This role is essential to ensuring smooth day-to-day operations and enabling our leaders to focus on strategic initiatives. You will work on-site in our Mandaluyong office, where your presence and responsiveness will be vital to the team's success.
Key responsibilities
- Managing executive calendars, scheduling meetings, and coordinating availability across multiple stakeholders
- Preparing and organising meeting materials, agendas, and follow-up documentation
- Handling confidential correspondence and sensitive communications with discretion and professionalism
- Coordinating travel arrangements, accommodation, and logistical support for executives
- Managing expense reports, invoicing, and budget tracking for executive departments
- Maintaining comprehensive filing systems and documentation in both digital and physical formats
- Liaising with internal departments and external parties on behalf of senior management
- Preparing presentations, reports, and business documentation with attention to detail
- Managing office supplies, equipment, and vendor relationships as required
- Supporting special projects and initiatives as directed by executive leadership
What we're looking for:
- Proven experience (minimum 3-5 years) as an Executive Assistant, Management Assistant, or similar role supporting senior executives
- Exceptional organisational and time management skills with the ability to juggle multiple priorities effectively
- Professional communication skills, both written and verbal, with strong grammar and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with scheduling and project management tools
- Discretion and confidentiality in handling sensitive information and business matters
- Strong interpersonal skills with the ability to work collaboratively across all levels of the organisation
- Proactive problem-solving approach and ability to work independently with minimal supervision
- Flexibility and willingness to adapt to changing priorities and business needs
- Excellent customer service orientation and professionalism in all interactions
- Knowledge of the technology retail or IT industry is preferred but not essential
