Ulticon Builders, Inc. is seeking a proactive Executive Assistant to provide comprehensive administrative and operational support to the President, CEO, and assigned executives.
You will manage calendars, coordinate meetings, prepare reports, handle confidential information, and liaise with internal teams and external partners to keep business operations running smoothly. The Executive Assistant is responsible for providing comprehensive administrative, organizational, and operational support to the President, CEO, or assigned executive. The role involves managing schedules, coordinating meetings, preparing reports and correspondence, handling confidential information, and facilitating communication between the executive and internal and external stakeholders.
The Executive Assistant ensures that the executive's daily activities, appointments, and administrative requirements are properly coordinated and efficiently managed to support business operations and organizational objectives.
Executive Calendar and Schedule Management
Manage and maintain the executive's daily calendar, appointments, meetings, and business engagements.
Coordinate schedules with department heads, clients, business partners, and other stakeholders.
Prioritize appointments and ensure that schedules are properly organized to avoid conflicts.
Provide timely reminders regarding meetings, deadlines, appointments, and important commitments.
Make necessary adjustments to schedules based on urgent matters and executive instructions.
Administrative and Documentation Support
Prepare, edit, format, and organize letters, memoranda, reports, presentations, and business correspondence.
Review documents for completeness, accuracy, proper formatting, and consistency before executive submission or approval.
Maintain an organized filing system for executive documents, records, and correspondence.
Assist in the preparation of presentations, briefing materials, and executive summaries.
Monitor document routing, approvals, and submission deadlines.
Maintain updated records of important executive-related documents and transactions.
Meeting and Conference Coordination
Schedule and coordinate internal and external meetings, conferences, and business appointments.
Prepare meeting agendas, presentation materials, attendance lists, and other necessary documents.
Coordinate meeting venues, equipment, refreshments, and logistical requirements when needed.
Attend meetings, as requested, and document key discussions, decisions, and action items.
Prepare and distribute minutes of meetings and monitor assigned action items.
Follow up with concerned departments or individuals regarding pending deliverables and commitments.
Communication and Correspondence Management
Manage and monitor incoming and outgoing emails, letters, phone calls, and other communications.
Draft professional correspondence, responses, and communications on behalf of the executive, subject to approval.
Serve as a communication liaison between the executive, department heads, employees, clients, suppliers, and business partners.
Ensure that important messages, instructions, and requests are properly communicated to concerned individuals.
Monitor and follow up on pending communications requiring executive action or response.
Handle sensitive communications with professionalism, discretion, and appropriate judgment.
Travel and Itinerary Arrangements
Coordinate domestic and international business travel arrangements for the executive.
Arrange flight bookings, hotel accommodations, transportation, and other travel requirements.
Prepare detailed travel itineraries, schedules, and relevant documentation.
Coordinate with travel agencies, hotels, transportation providers, and other service providers.
Monitor changes in travel schedules and communicate updates promptly.
Assist in organizing business trips, meetings, and official engagements.
Task Monitoring and Executive Follow-Up
Monitor pending tasks, instructions, and assignments delegated by the executive.
Coordinate with concerned departments to obtain updates on ongoing activities and deliverables.
Maintain task trackers, follow-up lists, and status reports when required.
Provide regular updates regarding pending requests, deadlines, and important concerns.
Escalate urgent matters or delays to the executive's attention.
Ensure that executive directives are properly documented and followed through by responsible parties.
Reports and Information Management
Gather and consolidate information, reports, and updates from various departments.
Assist in preparing executive-level summaries, operational updates, and management reports.
Organize information needed for decision-making, meetings, and management reviews.
Monitor the submission of required reports and supporting documents.
Maintain accurate and updated records of reports, correspondence, and executive requests.
Ensure that information presented to the executive is properly organized and, where applicable, verified with the concerned department.
Confidentiality and Records Security
Handle confidential company, executive, employee, client, and business-related information with discretion.
Maintain the security and proper organization of sensitive documents and records.
Limit the disclosure of confidential information to authorized individuals.
Follow company policies regarding document handling, data privacy, and information security.
Exercise sound judgment when managing sensitive communications and executive matters.
Stakeholder and Office Coordination
Coordinate with internal departments to facilitate executive requests and business requirements.
Assist in managing communications with clients, contractors, suppliers, consultants, and other external stakeholders.
Support the preparation and coordination of executive visits, company events, and official engagements.
Maintain professional working relationships with employees and business contacts.
Provide administrative assistance during management meetings and corporate activities.
General Administrative and Other Duties
Assist in coordinating special projects and initiatives assigned by the executive.
Support the executive in organizing and monitoring administrative requirements.
Identify opportunities to improve administrative workflows, scheduling, and document management.
Perform other related administrative duties as may be assigned by management.
Maintain flexibility in responding to changing priorities and urgent executive requirements.
Educational Background
Bachelor's degree in Business Administration, Management, Office Administration, or a related field.
Additional training in executive assistance, business communication, or office management is an advantage.
Work Experience
At least 2–5 years of relevant experience in Executive Assistance, Personal Assistance, Administrative Support, or a similar position.
Experience supporting senior executives, company presidents, directors, or management-level personnel is preferred.
Experience in construction, engineering, real estate, or a corporate environment is an advantage.
The required experience may be adjusted based on the company's hiring requirements.
