We are seeking an Executive Assistant to provide high-level support to U.S.-based Vice Presidents. This role is ideal for a proactive, resourceful, and detail-oriented professional who enjoys working in a fast-paced, global environment and serving as a trusted partner to senior leadership.
As part of our Executive Assistant team in Quezon City, you'll support multiple Vice Presidents by managing complex schedules, coordinating travel, facilitating communication, and ensuring administrative excellence across a variety of business activities.
What You’ll Do
Executive Support
Manage complex executive calendars across multiple time zones, balancing shifting priorities and ensuring efficient scheduling.
Coordinate domestic and international travel arrangements, including itineraries, accommodations, and logistics.
Prepare, review, and submit expense reports accurately and in compliance with company policies.
Support meeting preparation, presentation development, and executive communications.
Handle confidential and sensitive information with discretion and sound judgment.
Serve as a trusted administrative partner to approximately five U.S.-based Vice Presidents.
Collaborate closely with Executive Assistants across global teams to coordinate meetings, support business initiatives, and provide coverage when needed.
Build strong relationships with internal and external stakeholders to facilitate effective communication and execution.
What We’re Looking For
Required Qualifications
Minimum of 5 years of experience supporting senior executives in an Executive Assistant or Administrative Assistant capacity.
Strong proficiency in Microsoft Office applications, including Outlook, Word, PowerPoint, and Excel.
Experience using business productivity tools such as Concur and Zoom.
Exceptional organizational and time-management skills with the ability to manage multiple priorities simultaneously.
Excellent verbal and written communication skills.
Proven ability to work independently, demonstrate initiative, and anticipate executive needs.
Professional maturity and the ability to handle confidential information with the highest level of discretion.
Flexibility to align with U.S. working hours and support executives located across multiple regions.
