Job summary

Marivent Hotels and Resorts In in Quezon City is seeking a Head Executive Assistant to provide high-level administrative and executive support to the CEO and senior leadership on-site. The ideal candidate has 3–5 years of experience, a Bachelor's degree in a related field, and excellent English and Filipino communication, with strong organizational and multitasking skills.

Proficiency in Microsoft Office Suite and Google Workspace is required, and travel may be necessary.

Qualifications

  • Bachelor's degree in Business Administration, Office Administration, Management, Communications, or a related field.
  • 3–5 years of proven experience as an Executive Assistant or similar role supporting senior executives or CEO.
  • Excellent verbal and written communication in English and Filipino.
  • Strong organizational, time management, and multitasking skills.
  • Professionalism, integrity, and discretion with confidential information.
  • Proficient in Microsoft Office Suite and Google Workspace.
  • Excellent interpersonal skills with ability to build relationships with internal and external stakeholders.
  • Ability to work independently, under pressure, with minimal supervision.
  • Willing to travel when necessary.

Responsibilities

  • Manage the CEO's calendar, appointments, meetings, travel arrangements, and daily schedule.
  • Screen, prioritize, and respond to emails, phone calls, correspondence, and other communications on behalf of the CEO.
  • Prepare reports, presentations, meeting agendas, minutes, and other documents for the CEO.
  • Coordinate with department heads and monitor timely completion of tasks and directives issued by the CEO.
  • Maintain the confidentiality of sensitive business information, executive records, and company documents.
  • Serve as liaison between the CEO and internal departments, clients, business partners, government agencies, and external stakeholders.
  • Plan, organize, and coordinate executive meetings, company events, business trips, and special projects.
  • Monitor project timelines, prepare status updates, and ensure follow-through on action items.
  • Organize and maintain accurate filing systems for contracts, reports, correspondence, and other executive documents.
  • Perform other administrative, operational, and executive support functions as assigned by the CEO to ensure the efficient operation of the executive office.

  • Strong organizational, time management, and multitasking skills with the ability to prioritize competing responsibilities.
  • High level of professionalism, integrity, and discretion in handling confidential and sensitive information.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Excellent interpersonal skills with the ability to build and maintain professional relationships with internal and external stakeholders.
  • Strong analytical, problem-solving, and decision-making abilities with keen attention to detail.
  • Ability to work independently, under pressure, and with minimal supervision in a fast-paced environment.
  • Willing to work extended hours, travel when necessary, and perform other duties as assigned by the CEO.
