Manage, coach, and support a team of Executive Assistants delivering virtual support to senior leaders.
Foster a culture of accountability, collaboration, and service excellence.
Guide team members on scheduling best practices, communication, and workload management.
Support onboarding, training, and professional development initiatives.
Monitor team capacity and help ensure effective workload balancing and coverage planning.
Serve as the primary escalation point for administrative and scheduling challenges.
Standardize processes, tools, and templates across the administrative support organization.
Develop and maintain training materials, playbooks, and standard operating procedures.
Identify opportunities to improve efficiency, quality, and service delivery.
Champion continuous improvement initiatives that enhance team performance and stakeholder experience.
Deliver high-level administrative support during vacancies, planned leave coverage, or periods of increased demand.
Manage complex executive calendars across multiple time zones.
Coordinate meetings, materials, agendas, and follow‑up actions.
Support executive communications, presentations, and cross‑functional stakeholder engagement.
Handle sensitive and confidential information with professionalism and discretion.
5+ years of executive-level administrative support experience, preferably within a multinational or global organization.
Strong understanding of administrative operations and business processes.
Advanced proficiency in Microsoft 365 applications, including Outlook, Teams, PowerPoint, Excel, and SharePoint.
Demonstrated experience managing complex calendars and supporting senior leaders.
Excellent communication, organization, and relationship-building skills.
Ability to prioritize competing demands and adapt quickly in a fast-paced environment.
High level of professionalism, sound judgment, and discretion when handling confidential information.
Flexibility to support executives working across U.S. time zones.
Previous experience leading, mentoring, coaching, or supervising administrative professionals.
Experience supporting executives in a virtual, globally dispersed environment.
Proven track record of implementing process improvements and enhancing team effectiveness.
