The Philippine Football Federation is seeking an Executive Assistant to support the General Secretary with high-level administrative, coordination, and communications tasks. You will manage schedules, prepare meeting materials, and ensure smooth operations across departments and stakeholders.
You will handle minutes, correspondence, and confidential information, coordinating with clubs, leagues, sponsors, and government agencies to keep activities on track and on time.
The Executive Assistant to the General Secretary provides high-level administrative, coordination, communication, and organizational support to the General Secretary. The position ensures the efficient management of schedules, meetings, correspondence, documents, official activities, and coordination with internal departments, football clubs, leagues, committees, government agencies, sponsors, and other stakeholders.
Key responsibilities
Provide comprehensive administrative support to the General Secretary.
Manage the General Secretary's daily calendar, appointments, meetings, and official engagements.
Organize and coordinate internal and external meetings.
Prepare meeting agendas, briefing materials, presentations, and supporting documents.
Take and prepare accurate minutes of meetings when required.
Monitor schedules, deadlines, and follow-up actions.
Draft, proofread, and manage official letters, emails, memoranda, reports, invitations, and other correspondence.
Receive and screen communications addressed to the General Secretary.
Coordinate communications between the General Secretary and departments, committees, clubs, leagues, partners, and other stakeholders.
Ensure timely responses to important correspondence and requests.
About you
Bachelor's degree in Business Administration, Management, Office Administration, Communications, Sports Management, or a related field.
At least 2-4 years of experience as an Executive Assistant, Personal Assistant, Administrative Officer, Executive Secretary, or similar position.
Experience supporting senior executives, directors, or senior management is highly preferred.
Excellent knowledge of Microsoft Office, particularly Word, Excel, PowerPoint, and Outlook.
Strong calendar and schedule management skills.
Excellent document preparation and records management skills.
Ability to prepare meeting minutes, reports, presentations, and official correspondence.
Familiarity with virtual meeting platforms such as Zoom or Microsoft Teams.
Good knowledge of office administration and business communication.
Demonstrate confidentiality, professionalism, excellent organizational skills, and strong communication.
