Job Title: Contract Support Officer
Location: Ortigas, Pasig, PH
Work Schedule: Monday to Friday, 6:00 AM – 3:00 PM (Hybrid | 3x Onsite, 2x WFH)
Job Summary
The Contract Support Officer supports the effective operation of procurement systems and panel arrangements, with a primary focus on maintaining accurate, consistent, and reliable contract and contractor data across all systems.
The role is responsible for ensuring high standards of data integrity, reconciliation, and system alignment, providing the foundation for compliant, auditable, and scalable procurement delivery across multi-council, multi-supplier environment.
In addition, the role acts as the first point of contact for contract-related enquiries via Zendesk platform, ensuring enquiries are appropriately triaged and directed to the correct portfolio teams. Where enquiries fall within defined scope (such as contractor contact updates, system access, and user management) the Contract Support Officer resolves them directly, with the scope of resolution expected to expand as capability and system knowledge develop.
Job Responsibilities
Systems Administration and Data Management
Maintain accurate and current data across systems, including:
Contract Lifecycle Management System (CLMS)
CRM platforms
VendorPanel system
eTendering systems
Ensure contract, contractor, and panel records are complete, structured consistently, and are aligned across systems
Apply and uphold data standards, naming conventions, and system protocols
Data Entry, Updates and Maintenance
Perform timely and accurate data entry for:
contractor onboarding information
contract and panel records
variations and administrative updates
Ensure all updates are supported by appropriate documentation
Maintain traceability of data changes in line with governance requirements
Data Reconciliation and Quality Assurance
Reconcile data across systems to ensure consistency and accuracy
Conduct regular data quality checks and support data cleansing activities
Escalate data issues and systemic inconsistencies where required
Enquiry Management and Triage
Act as the first point of contact for contract-related enquiries via Zendesk
Triage enquiries to ensure timely allocation to the appropriate:
portfolio team
Procurement Excellence function
other internal stakeholders
Maintain clear and accurate records of enquiries and actions taken
Enquiry Resolution
Resolve enquiries within defined scope, including:
contractor contact updates
user access and system account management
basic contract or panel information requests
Ensure enquiries are resolved:
accurately
promptly
in accordance with documented processes
Escalate complex or out-of-scope enquiries appropriately
Support expansion of enquiry resolution scope over time as capability develops
Support to Procurement and Panel Lifecycle Processes
Assist with system-related support for procurement activities, including:
maintaining panel and contractor records
ensuring documentation is correctly stored and accessible
supporting onboarding system requirements
Ensure system records reflect current panel status and participation
Reporting and Data Support
Extract and provide data to support:
operational reporting
governance and audit requirements
Assist in preparing standard reports relating to:
panel data
contractor records
system usage
Ensure reporting outputs are based on accurate and consistent data
Process Improvement and Systems Enablement
Identify opportunities to improve:
data entry processes
reconciliation workflows
enquiry handling processes
Contribute to system and process enhancements in collaboration with:
Procurement Excellence
Systems/Operations teams
Support standardisation of system usage and data practices
Backfill Support to Contract Officers (as required)
Provide targeted operational support to Contract Officers during:
peak workload periods
leave or resourcing gaps
Backfill activities may include:
assisting with contractor onboarding coordination
updating panel and contractor records
responding to basic contractor enquiries
maintaining contract documentation
Ensure backfill support is:
time-bound and clearly defined
does not compromise core data management responsibilities

Qualifications
Essential
Experience in administration, data entry, or system support roles
Strong attention to detail and commitment to data accuracy
Ability to follow structured processes and procedures
Basic analytical capability to identify data inconsistencies
Strong organisational and time management skills
Proficiency in Microsoft Office (particularly Excel)
Desirable
Experience with:
contract management systems (CLMS)
CRM or database systems
helpdesk platforms (e.g. Zendesk or similar)
Exposure to procurement, contract management, or governance environments
