Job summary

Qualifications

  • With 5 years of experience in end-to-end accounting tasks and contracts management.
  • Prior experience in the Australian civil, and construction sectors will be highly regarded.
  • Excellent to advanced English communication skills (written and verbal).
  • With experience in using Payapps, Procore, Xero System.
  • Strong understanding of commercial construction and ability to understand estimates, quotes and plans to assess claims and variations.
  • Strong knowledge of Payment Securities Act.
  • Adaptable, proactive, and willing to ask questions.
  • Strong attention to detail and organizational skills.
  • Confident dealing with major clients, project managers, and stakeholders.

Responsibilities

  • Review contract terms and ensure compliance with project obligations.
  • Review schedules and daily records for potential contractual issues.
  • Resolve upstream and downstream contract disputes.
  • Maintain accurate contract records and commercial documentation.
  • Handle or manage a high volume of email correspondence.
  • Support contract negotiations and project administration activities.
  • Apply Payment Securities Act; submit variations.
  • Daily record keeping of works completed with the team.
  • Processing and submitting claims against contracts.
  • Identify process improvement opportunities after understanding current systems.

Job description

We are seeking an experienced and proactive Contracts Administrator to join our growing team. Operating across the Civil Construction and Infrastructure sectors, this role plays a key part in the contracts management of projects involving infrastructure works. Experience working withAustralian civil, and construction companiesis highly desirable. Candidates should possess a strong understanding ofAustralian Standards (AS)and have proven experience in the preparation, review, and administration of contracts and project documentation. Knowledge of contract management, variations, scopes of work, subcontractor agreements, and compliance requirements within the Australian mining, civil, and construction industries is preferred.

Key Responsibilities

Prepare subcontractor and major supply contracts.

Prepare all upstream commercial notices, claims, and contractual correspondence within required timeframes.

Review contract terms and ensure compliance with project contractual obligations.

Review schedules, daily records for potential contractual issues

Resolve upstream and downstream contract disputes.

Maintain accurate contract records and commercial documentation.

Must be able to handle or manage a high volume of email correspondence.

Support contracts negotiations and project administration activities.

Apply Payment Securities Act

Submit variations

Daily record keeping of works completed with the team.

Processing and submitting claims against contracts

Identify process improvement opportunities after gaining a thorough understanding of current systems and procedures.

Ability to learn quickly, listen effectively, and avoid repeating mistakes.

Willingness to collaborate and bounce ideas around with colleagues.

Must be willing to work in a full-time working on-site work arrangement

Must be willing to work in a morning shift (6am to 3pm)

Must be willing to work in BGC Taguig

Mid to higher-level contract administration experience within Civil, Construction, Infrastructure, or Engineering environments.

Experience preparing subcontractor and supplier agreements.

Exposure to contracts with FMG, Roy Hill, Rio Tinto, Western Power, or similar Tier 1 clients is preferred.

Strong commercial contract administration capability.

Confidence managing relationships with large clients such as Rio Tinto and FMG.

Ability to handle large volumes of correspondence accurately.

Continuous improvement mindset and accountability for performance.

Commitment to learning company systems before recommending changes.
