We're looking for a proactive and detail-oriented Procurement Officer to join our Supply Chain team. This role is ideal for someone who enjoys managing purchase orders, monitoring inventory, coordinating with suppliers, and ensuring supply chain processes run smoothly and efficiently.
You’ll play a key role in supporting day-to-day procurement and supply chain operations by managing purchase orders, monitoring stock levels, tracking deliveries, maintaining accurate records, and preparing reports to support business decisions.
What You'll Be Doing
As a Procurement Officer, you'll be responsible for supporting efficient procurement and inventory operations while working closely with internal teams and suppliers.
Purchase Order Management
- Raise Purchase Orders and place orders through supplier portals.
- Monitor and track Purchase Orders that are past their estimated receipt dates.
- Investigate the status of open Purchase Orders and follow up with suppliers as required.
- Update expected delivery dates and take appropriate follow-up action.
- Close completed or obsolete Purchase Orders.
- Maintain accurate Purchase Order records and documentation.
Inventory & Stock Monitoring
- Monitor stock levels and support inventory planning activities.
- Use forecasting tools to generate draft orders for individual SKUs.
- Identify out-of-stock and low-stock items to support timely purchasing decisions.
- Track the Estimated Time of Arrival (ETA) of overseas shipments.
- Monitor inventory movements and assist in maintaining accurate stock information.
Supplier & Shipment Coordination
- Follow up with suppliers regarding Purchase Orders, delivery schedules, and shipment updates.
- Ensure required shipping documentation is received, including commercial invoices, bills of lading, packing lists, and certificates.
- Match supplier documentation with Purchase Order details to support accurate goods receipt.
- Investigate and resolve discrepancies relating to deliveries, documentation, and Purchase Orders.
Procurement Administration & Reporting
- Monitor open item receipts and ensure they are cleared and billed promptly.
- Allocate freight and landed costs to relevant item receipts within the ERP system.
- Process delivery dockets for received goods and completed services.
- Ensure supplier invoices and relevant documentation are forwarded to the appropriate Accounts Payable process.
- Investigate discrepancies identified in delivery and receiving records.
- Prepare and maintain reports relating to stock-outs, manufacturing schedules, delays, Purchase Order status, and sales forecasting.

- Purchase Orders are raised, monitored, and followed up accurately and on time.
- Stock levels are actively monitored to minimize stock-outs and supply disruptions.
- Supplier and shipment information is kept accurate and up to date.
- Purchase Order, delivery, and inventory discrepancies are resolved promptly.
- Shipping and receiving documentation is complete and accurately processed.
- Reports provide reliable and timely information to support business operations and management decisions.
What We're Looking For
We're looking for someone who is proactive, highly organized, and comfortable managing multiple procurement and supply chain activities in a fast-paced environment.
Essential Skills & Experience
- At least 3 years of experience in a Supply Chain, Procurement, Purchasing, or similar role.
- Experience raising and managing Purchase Orders.
- Knowledge of procurement processes, inventory control, stock monitoring, and stock reporting.
- Strong data entry skills with excellent attention to detail and accuracy.
- Experience following up suppliers and managing Purchase Order or delivery statuses.
- Strong organizational, planning, and task management skills.
- Excellent communication and interpersonal skills across phone, email, and instant messaging.
- Ability to manage multiple priorities efficiently.
- A proactive, action-oriented, and problem-solving approach.
- Ability to work effectively in a fast-paced and dynamic environment.
- Positive attitude, adaptability, and willingness to learn.
- Willingness to work in Australia working hours
Highly Preferred
- Experience using an ERP system, particularly Odoo.
- Experience with inventory forecasting or demand planning tools such as Netstock.
- Familiarity with Microsoft 365.
- Experience with supply chain reporting and data analysis.
- Experience tracking overseas shipments and managing shipping documentation.
- Experience processing landed costs, item receipts, and delivery documentation.
- Familiarity with tools such as 3CX or WordPress is advantageous.
- Willingness to work in Australia working hours
- Must be willing to work onsite in Angeles City, Pampanga
