Joy~Nostalg Group seeks an Asset Inventory Officer to manage the accurate inventory, documentation, organization, and monitoring of personal and company assets under the Family Management Office. You will coordinate with the Household Management Head and handle confidential assignments for the GEO and the Ng Family.
The role requires 3+ years in asset management, strong Excel/Google Workspace skills, and meticulous records handling.
The Asset Inventory Officer is responsible for the accurate inventory, documentation, organization, and monitoring of personal and Company assets under the care of the Family Management Office (FMO). The role works closely with the Household Management Head and handles confidential assignments involving the assets and collections of the company's owners.
Asset Inventory & Monitoring
Maintain an accurate and updated inventory of personal and company assets, including collections, paintings, equipment, furnishings, and other valuables.
Conduct physical inventory and verification of assets at designated offices, properties, and storage locations.
Record asset details, ownership, location, condition, acquisition cost, and other relevant information.
Reconcile physical assets against inventory records and promptly report discrepancies or missing assets.
Asset Valuation & Records
Determine and maintain the recorded acquisition cost or estimated value of assigned assets based on available documents and approved valuation references.
Coordinate with Finance, Accounting, appraisers, dealers, or other specialists for asset valuation and verification when necessary.
Maintain organized supporting documents such as receipts, certificates, appraisals, warranties, and other asset records.
Asset Organization & Stewardship
Organize and monitor the proper placement, storage, handling, and movement of assets across designated properties and locations.
Coordinate asset transfers, deliveries, relocation, or storage requirements and ensure proper accountability throughout the process.
Monitor the condition and security of valuable or sensitive assets and promptly elevate concerns requiring attention.
Reporting & Confidential Assignments
Prepare inventory reports, asset listings, reconciliation reports, and other management reports as required.
Provide accurate and timely asset information to authorized members of the FMO and management.
Handle confidential asset information and perform sensitive assignments for the GEO and the Ng Family with the highest level of discretion.
Perform other related duties and special assignments as directed by the Household Management Head.
Bachelor's degree in Business Administration or Management, or a related field.
Minimum of three (3) years of relevant experience in asset management, inventory, records management, finance, or a related function.
Strong asset inventory, documentation, reconciliation, organization, and records management skills.
Strong attention to detail and ability to accurately track asset descriptions, values, locations, and supporting documents.
Basic knowledge of asset valuation, acquisition costs, depreciation, and financial documentation.
Proficient in MS Excel, Google Workspace, and other inventory or database management tools.
Demonstrates exceptional integrity, trustworthiness, discretion, and respect for confidentiality.
Demonstrates ownership and accountability for the safekeeping, documentation, and proper handling of assigned assets.
Exercises sound judgment and professionalism when dealing with confidential information, high-value assets, and private properties.
Remains dependable, organized, and composed when handling sensitive or time-critical assignments.
