Job summary

Firewatch South Auckland and Counties is seeking an organised, proactive Office Administrator to join our Auckland team. The role supports the Director and field team, coordinating office tasks, handling customer enquiries, scheduling jobs, and managing invoicing and accounts using Xero.

Qualifications

  • Experience in an office administration or administration support role.
  • Strong Microsoft Office and computer skills.
  • Willingness to learn and develop skills.
  • A clean criminal record and ability to work in New Zealand.

Responsibilities

  • Answer incoming phone calls and assist customers professionally.
  • Respond promptly to customer enquiries via phone, email, and other channels.
  • Create, schedule and assign jobs within job management software.
  • Reconcile supplier invoices and prepare customer invoices for approval.
  • Complete Xero reconciliations for accounts payable and accounts receivable.
  • Provide support to the Director and team as required.

Firewatch South Auckland and Counties – Auckland, North Island

We are seeking an organised, proactive, and customer-focused Office Administrator to join our team at Firewatch South Auckland and Counties. This is a diverse role that plays a vital part in the smooth day-to-day running of our business.

Working closely with the Director and the field team, you'll be responsible for coordinating office administration, supporting customer enquiries, job scheduling, managing invoicing and accounts administration, and helping ensure our operations run efficiently.

This role is ideal for someone who enjoys variety, thrives in a fast-paced environment, takes pride in delivering exceptional customer service, and is passionate about supporting a team. Training will be provided.

Key Responsibilities
  • Answer incoming phone calls and assist customers professionally
  • Respond promptly to customer enquiries via phone, email, and other communication channels.
  • Create, schedule and assign jobs within job management software.
  • Assist the team in scheduling field jobs and ensuring efficient allocation of work.
  • Reconcile supplier invoices. Prepare and submit customer invoices for approval.
  • Complete Xero reconciliations for accounts payable and accounts receivable.
  • Manage customer complaints professionally, gathering relevant information and working towards positive outcomes.
  • Provide support to the Director and the team as required.
  • Complete all work accurately, professionally, and within agreed timeframes.

Ideally, you'll have:

Previous experience in an office administration or administration support role. Strong Microsoft Office and computer skills. Working within a small business environment would be highly regarded. A current full New Zealand Driver Licence. A clean criminal record. A willingness to learn, develop, and continually improve your skills. Must be able to work in New Zealand.
