Qualifications

• Diploma or Bachelor’s Degree in Supply Chain Management, Logistics, Business Administration, F&B Management, or equivalent.
• 1–2 years of experience in purchasing or supply chain within F&B, hospitality, or retail; fresh graduates with internship welcome.
• Basic knowledge of F&B inventory systems, ERP software, and Microsoft Excel.
• High attention to detail with strong follow-up skills; able to coordinate with ground outlet teams.
• Willing to travel between outlets within Klang Valley.

Responsibilities

• Receiving and GRN management across outlets, central kitchen, and distribution center; aim for timely invoicing and GRN sign-off.
• Assist Procurement Manager in generating, verifying, and issuing POs for stock requests, new menus, and campaigns; coordinate daily/weekly order schedules with suppliers.
• Maintain Halal Ingredient Master List and ensure halal certifications are up to date; track price changes and update price master files.
• Liaise with vendors on delivery schedules, order status, and minor issue resolution; assist in periodic inventory audits and stocktaking.
• Collaborate with Finance/Accounts Payable to resolve invoice-to-PO discrepancies; support procurement for events and store openings.

*Job Title:* Procurement Executive (Junior Level)

*Position Summary*

The Junior Procurement Executive will support day-to-day purchasing operations across outlets, the central kitchen, and the distribution center. This role ensures timely receiving records, smooth Purchase Order (PO) processing, data accuracy in master lists, and seamless coordination with internal teams and suppliers.

*Key Responsibilities*

1. Receiving & GRN Management

• * Monitor and complete Good Receiving Notes (GRN) across all outlets, the central kitchen, and the distribution center.
• * Actively follow up with daily receivers to ensure 100% timely submission of invoices and delivery dockets.
• * Reconcile discrepancies between POs, delivery orders, and invoices before GRN sign-off.

2. Purchase Order & Ordering Support

• - Assist the Procurement Manager in generating, verifying, and issuing Purchase Orders (POs) for outlet stock requests, new menu launch, marketing collaterals and other requests.
• - Coordinate daily/weekly order schedules with suppliers to meet outlet lead times and prevent out-of-stock situations.

3. Compliance & Master Data Maintenance

• - Maintain and update the Halal Ingredient Master List, ensuring all supplier Halal certifications remain valid and fully compliant with regulatory standards.
• - Track supplier price adjustments, update internal price master files, and flag price variances to the manager immediately.
• - Archive supplier contracts, specification sheets, and safety certificates in central records.

4. Supplier & Inventory Operations Support

• * Liaise with vendors regarding delivery schedules, order status updates, and minor order resolution (e.g., short shipments, damaged goods).
• * Assist in periodic inventory audits and stocktaking exercises at the central kitchen and distribution center.
• * Monitor minimum stock levels for non-perishable consumables, packaging, and chemical supplies.

5. Cross-Functional & Administrative Support

• * Collaborate with Finance/Accounts Payable to resolve invoice-to-PO discrepancies for smooth payment processing.
• * Provide operational supply support for company events, new outlet openings, and seasonal promotional campaigns.
• * Handle general procurement documentation, filing, and administrative tasks as assigned.

*Key Performance Indicators (KPIs)*

1. 1. Daily GRN compliance and follow-up rate (90% on-time submissions).
2. 2. Accuracy in PO creation and pricing master data updates.
3. 3. Halal compliance record accuracy (zero expired certificates in active master list).

*Requirements & Qualifications*
