Job summary

Madam Kwan's Restaurant in Malaysia seeks a dedicated Procurement Executive to manage sourcing, supplier negotiations, and PO processing. The role focuses on achieving best terms while ensuring halal, GMP, and HACCP compliance for both food and non-food items.

You will collaborate with warehouse and operations to maintain optimal stock, monitor price trends, and ensure ERP accuracy. Fluency in Mandarin, Bahasa Malaysia, and English is preferred.

Qualifications

• At least 2 years of experience in Procurement/Purchasing or equivalent in same position.
• Experience in Food & Beverage/Retail Industry is an added advantage.
• Knowledge in GMP, HACCP & Halal Certification is an added advantage.
• MS Office or ERP system related experience is required.
• Proficiency in Bahasa Malaysia, Mandarin and English, with Mandarin proficiency preferred for communication with Mandarin-speaking clients.
• Strong negotiation, communication and leadership skills.
• Good communication and analytical skills.
• Ability to multitask and work independently with minimal supervision.

Responsibilities

• Prepare Purchase Orders upon receiving quotations or approval requests.
• Source new products/suppliers as needed.
• Negotiate with suppliers for best terms.
• Compile and update product specifications, halal and HACCP certificates for items.
• Coordinate with warehouse on optimal inventory levels.
• Monitor price fluctuations and report to management weekly.
• Ensure timely delivery by suppliers and invoice/ERP price matching.
• Conduct supplier questionnaires/evaluations for new suppliers.
• Maintain ERP data integrity and housekeeping.
• Forecast demand and plan bulk purchases to ensure availability.
• Liaise with contractors on outlets/CK repair issues.
• Schedule preventive maintenance for outlets/CK.
• Perform other ad-hoc duties as required.

Job description

Work closely with warehouse department on the optimum inventory level.

Compile price fluctuation and update management on weekly basis.

Follow up and ensure prompt delivery by suppliers.

Communicate with supplier on the complaints as and when needed.

Conduct Supplier Questionnaire or Evaluation before qualifying new suppliers periodically.

Ensure invoice closing and price matching between the invoice & ERP system.

Ensure good housekeeping on ERP system.

Forecast demand or bulk purchase plan that ensure availability of materials or products.

Handle and liaise with contractors on outlets & CK repair issues.

Keep track and arrange preventive maintenance schedule for outlets & CK.

Perform other ad-hoc duties as and when required

Job Requirements:

Candidate must possess at least a Higher Secondary/STPM/"A" Level/Pre-U, Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, Post Graduate Diploma or Professional Degree in any field.

At least 2 year working experience in Procurement/ Purchasing or equivalent in same position

Experience in Food & Beverage/ Retail Industry is an added advantage

Knowledge in GMP, HACCP & Halal Certification is an added advantage

Required skill(s): MS Office or ERP system related experience

Required language(s): Bahasa Malaysia, Mandarin, English. We are seeking candidates proficient in Mandarin to effectively communicate with Mandarin-speaking clients.
