Coordinate daily import and export shipment activities.
Arrange transportation and liaise with freight forwarders, shipping agents, transporters, and Customs authorities.
Monitor shipment schedules and ensure timely delivery of goods.
Prepare, verify, and maintain shipping documents including:
- Packing List
- Bill of Lading (B/L)
- Air Waybill (AWB)
- Delivery Order (DO)
- Certificate of Origin (COO)
- Shipping Instructions
- Other export/import documentation as required.
Coordinate shipment bookings and monitor cargo movement until final delivery.
2. Customs Declaration & Regulatory Compliance
Handle Customs declaration activities in compliance with Malaysian Customs regulations.
Prepare and submit Customs declarations including:
- Ensure correct HS Code classification, Customs tariff codes, and declaration accuracy.
- Coordinate with forwarding agents and Customs officers on clearance matters.
- Monitor permit applications, duty exemptions, and Customs approvals.
- Resolve Customs documentation discrepancies and declaration issues.
- Ensure compliance with all Customs procedures, regulations, and statutory requirements.
3. LMW & Customs Licensing Administration
Coordinate and manage Licensed Manufacturing Warehouse (LMW) related activities.
Prepare and submit applications for:
- New LMW License Application
- LMW License Renewal
- Amendment or variation of LMW licenses
- Additional warehouse approval under LMW
- New project warehouse license applications
Coordinate with Royal Malaysian Customs Department regarding LMW compliance and licensing matters.
Prepare supporting documents required for Customs inspections and license applications.
Maintain proper records of all Customs licenses, permits, approvals, and validity periods.
Ensure timely renewal of all Customs-related licenses and permits.
4. Bonded Lorry & Customs Permit Administration
- Coordinate application and renewal of Bonded Lorry permits and related Customs approvals.
- Liaise with transport companies, forwarding agents, and Customs officers regarding bonded transportation requirements.
- Ensure compliance with Customs regulations governing bonded transportation.
- Maintain records of bonded lorry permits and renewal schedules.
- Monitor validity of transport permits and ensure timely renewal.
5. Warehouse & Inventory Activities
- Coordinate incoming and outgoing warehouse activities.
- Monitor inventory movement and ensure accurate stock transactions.
- Coordinate goods receiving, inspection, storage, and issuance.
- Ensure proper labeling, storage, and material handling practices.
- Support stock count, cycle count, and annual inventory audit activities.
- Coordinate loading and unloading activities.
- Ensure warehouse housekeeping, safety, and 5S standards are maintained.
- Coordinate inventory movement between production, warehouse, and shipping.
6. Documentation & Record Management
- Maintain accurate filing of shipping, Customs, warehouse, and inventory documents.
- Ensure proper document retention in accordance with company and statutory requirements.
- Prepare reports related to shipping, inventory, Customs declarations, and logistics performance.
- Maintain shipment records for audit and traceability purposes.
7. Audit & Compliance
- Support internal, external, customer, and Customs audits.
- Prepare documentation required during Customs inspections and licenses audits.
- Ensure compliance with ISO procedures, company policies, and regulatory requirements.
- Assist in implementing corrective actions arising from audit findings.
8. Communication & Coordination
- Liaise with Purchasing, Warehouse, Production, Planning, Finance, Sales, and external logistics service providers.
- Communicate shipment status and delivery updates to relevant stakeholders.
- Coordinate with Customs, freight forwarders, transporters, and government agencies on logistics-related matters.
- Prepare periodic logistics and Customs reports for Management.
9. Fleet Management & Transport Administration
- Monitor and maintain the company's fleet of trucks, forklifts, trailers, and transport vehicles.
- Ensure timely renewal of Road Tax, vehicle insurance, and other statutory vehicle licenses.
- Coordinate and monitor PUSPAKOM inspections, including scheduling, documentation, and compliance requirements.
- Arrange repairs, preventive maintenance, servicing, tyre replacement, and breakdown support for company vehicles.
- Liaise with workshops, insurance companies, JPJ, PUSPAKOM, and relevant government authorities regarding vehicle compliance matters.
- Maintain complete records of vehicle registration, insurance, permits, maintenance history, and inspection schedules.
- Monitor the daily movement and utilization of company transport vehicles.
- Track truck locations using GPS or fleet management systems to ensure efficient routing and timely delivery.
- Monitor vehicle fuel consumption and prepare periodic fuel usage analysis reports.
- Investigate abnormal fuel consumption and recommend cost‑saving measures.
- Verify transport service records, toll charges, fuel claims, maintenance invoices, and transport‑related expenses.
- Coordinate transport schedules to optimize fleet utilization and minimize downtime.
- Ensure all transport vehicles comply with company safety standards and legal requirements.
- Prepare monthly fleet performance reports covering vehicle utilization, maintenance status, fuel consumption, PUSPAKOM inspections, and Road Tax renewal status.
- Support Management in planning fleet replacement, new vehicle acquisitions, and transport cost control initiatives.
JOB REQUIREMENTS
Education
Diploma or Bachelor's Degree in Logistics, Supply Chain Management, Business Administration, International Trade, or a related field.
Experience
- Minimum 2–3 years of working experience in shipping, logistics, import/export, warehouse operations, or Customs declaration. in fleet management, transport administration, shipping, logistics, or a related field.
- Experience in handling K1, K2, K8, and K9 declarations is required.
- Experience in LMW operations, Customs licensing, and bonded transportation administration is highly preferred.
- Experience in dealing with Royal Malaysian Customs Department and freight forwarding companies is an added advantage.
- Experience in managing company vehicle documentation, Road Tax renewal, insurance, and PUSPAKOM inspections is preferred.
- Experience in monitoring fleet operations, vehicle maintenance, and fuel consumption records is an added advantage.
