ADVANCED ENERGY INDUSTRIES (MALAYSIA) SDN. BHD. is seeking a focused Logistics Coordinator to coordinate shipping and warehouse activities, ensuring timely shipments and accurate documentation.
You will collaborate with planners, 3PL partners, and QA to drive continuous improvement and KPI reporting. Minimum three years in logistics/warehouse roles with a Diploma/Bachelor in Logistics or related field is preferred; strong SAP and MS Office skills are required to support documentation and process
Responsible for coordinating shipping and warehouse operations, ensuring accurate and timely shipment processing, preparing shipping documents, managing logistics providers and freight forwarders and maintaining compliance with customer, customs and quality requirements. The role also supports quality assurance, continuous improvement initiatives, audits, KPI reporting, SOP management and cross-functional collaboration to improve operational efficiency.
Work closely with Planner or Customer Advocate to prepare the shipment according to ship plan.
Coordinate and work closely with 3PL Logistics team to identify goods assigned based on inventory available.
Generate Delivery Note, Commercial Invoice and Packing List and other shipping related documents.
Understand shipping instruction given for each order request in system.
Coordinates for cargo pick up arrangement with various or selected freight carrier/forwarders based on the incoterm and keep track shipments movement.
Understand each customer requirement and Customs compliance for Export/Import and Bonded shipment.
Work with 3PL Logistics team to ensure pick the correct item based on pull order request.
Keep monitor and ensure the materials pack and ship as per schedule.
Investigates and / or fixes any problem arise with respective party either shipment or Warehouse issue.
Collect and record the data for KPI report.
Keep and file all the shipping related documents properly for audit purposes.
Adhere to organizational requirements on quality management, health and safety, code of conduct, legal stipulations, environmental, 5S policies and general duty of care.
Maintain confidentiality of all information related to the production processes and components, business and other technology including materials.
Lead and manage the Disposition Material Review (DMR) process, ensuring timely and effective resolution of material quality issues.
Review, track and follow up on Corrective Action Reports (CARs) and 8D reports, ensuring closure and implementation of preventive actions.
Actively support and participate in continuous improvement initiatives aligned with company goals, focusing on quality and operational efficiency.
Identify, analyse and implement warehouse process improvements aimed at increasing productivity, reducing waste and standardizing operational workflows.
Perform risk analysis for any new implementation in warehouse operation.
Lead and support internal and external audits, ensuring compliance with ISO 9001 and other relevant industry quality standards.
Develop, update and maintain Standard Operating Procedures (SOPs) and Work Instructions (WIs) for warehouse operations to ensure clarity and consistency.
Provide leadership and guidance to ensure smooth coordination and strong cross-functional collaboration
Carry out other assigned duties to support the quality assurance function and logistics operations.
Location: alternate work locations of external logistics (Bayan Lepas or Penang Science Park, Simpang Ampat).
Work in standard office environment and used office equipment (phone, PC, copier, fax machine etc.)
Good knowledge in SAP, Logistics/Warehousing and Customs compliance.
Good written and verbal communication skills.
Good knowledge in Microsoft Office (especially Excel, Words, PowerPoint and Outlook).
Familiarity with Lean Manufacturing principles and common quality tools (Process Mapping, Pareto Chart, Check Sheet and Fishbone Diagram)
Strong knowledge of risk assessment, 8D methodology and standardization practices.
Excellent analytical and problem‑solving abilities, with the capability to address complex issues.
Self‑motivated team player with strong interpersonal, leadership, and communication skills
Minimum three (3) years of experience in Supply Chain (Logistic/ Warehouse) and Continuous Improvement or Quality roles within logistics operations or a manufacturing environment.
Prefer experienced in Logistic/Shipping/Warehouse and process improvement involvement
Diploma / Bachelor’s Degree in Logistic, Transport, Supply Chain or any related field.
Prefer a strong personality with a dedicated, independent person and teamwork.
Prefer certification in Windows, Excel, and Word and/ equivalent experience at an intermediate level, if available.
