Job summary

Neostra Technologies is seeking a Shipping Officer to assist the Logistics Manager in daily shipping operations, ensuring all goods are dispatched on time and in full compliance with customs and company standards.

You will coordinate shipments, arrange pickups with freight forwarders, verify goods before dispatch, and prepare essential documents while maintaining audit-ready records. A diploma or degree in Logistics or related field and 2–4 years of shipping experience are preferred.

Qualifications

• Diploma or Bachelor's Degree in Logistics, Supply Chain, Business Administration or International Trade or related field.
• 2–4 years of experience in shipping, logistics, import/export or warehouse operations.
• Experience dealing with freight forwarders, customs brokers and courier companies is preferred.

Responsibilities

• Coordinate daily inbound and outbound shipments in line with the approved delivery plan.
• Arrange pickups and deliveries with appointed freight forwarders, couriers, and transporters.
• Monitor shipment progress and escalate delays or issues to the Logistics Manager.
• Verify finished goods (quantity, model, serial number, packing) before dispatch.
• Prepare and verify all shipping documents, including invoices, packing lists, DOs, AWBs/BLs, COO and other customs docs.
• Ensure documents are accurate, complete, and filed properly.
• Validate product details against approved records (HS code, value, country of origin).
• Handle import/export customs documentation and coordinate clearance with customs brokers.
• Maintain audit-ready records in compliance with Malaysia Customs and internal controls.
• Follow up on clearance queries, inspections, or document discrepancies.
• Collaborate with freight forwarders for bookings, schedules, and rate quotes.
• Track shipments from booking to delivery and update ERP/MES records.

Job Purpose

The Shipping Officer supports the Logistics Manager in executing daily shipping operations — ensuring all goods are dispatched accurately, on time, and in full compliance with customs regulations, customer requirements, and company standards.

Key Responsibilities

• Coordinate daily inbound and outbound shipments in line with the approved delivery plan
• Arrange pickups and deliveries with appointed freight forwarders, couriers, and transporters
• Monitor shipment progress and promptly escalated delays, urgent cases, or exceptions to the Logistics Manager
• Verify finished goods (quantity, model, serial number, packing) before dispatch
• Prepare and verify all shipping documents, including:
  • Commercial Invoice, Packing List, Delivery Order
  • Air Waybill (AWB) / Bill of Lading (BL)
  • Certificate of Origin (COO) and customs-related documents
  • Any customer- or destination-specific documents
• Ensure documents are accurate, complete, and consistently filed
• Validate product details (HS Code, declared value, country of origin) against approved records
• Handle import/export customs documentation and coordinate clearance with customs brokers
• Support LMW-related shipment documentation and record keeping, where applicable
• Maintain audit-ready records in compliance with Malaysia Customs and internal control requirements
• Follow up on clearance queries, inspections, or document discrepancies
• Liaise with freight forwarders and transporters for bookings, schedules, and rate quotations
• Confirm vessel/flight details and estimated arrival dates; follow up on any delays or irregularities
• Maintain strong working relationships with logistics service providers
• Track all shipments from booking through to final delivery; update ERP/MES records accordingly
• Prepare daily/weekly shipment status reports and flag high-risk or delayed shipment
• Collaborate closely with Warehouse, Production, PMC, Purchasing, Finance, Quality, and Sales/CS teams
• Ensure shipment data is aligned across ERP, warehouse records, and physical goods
• Support month-end shipment and inventory reconciliation

Job Requirements

Education

• Diploma or Bachelor's Degree in Logistics, Supply Chain, Business Administration, International Trade or related field.

Experience

• Preferably 2–4 years of experience in shipping, logistics, import/export or warehouse operations.
• Experience in manufacturing environment is an advantage.
• Experience dealing with freight forwarders, customs brokers and courier companies is preferred.
• Experience with Malaysia import/export and customs documentation is an advantage.
• LMW experience will be an added advantage.
