Job summary

Gangyao Technology (Malaysia) Sdn. Bhd. is seeking a detail-oriented LMW Administrator to manage and maintain all Licensed Manufacturing Warehouse documentation, records, and filing in line with Malaysian Customs regulations and company policy.

The role requires coordinating with internal teams to prepare, verify, and submit LMW reports, declarations, and supporting documents within deadlines, and to monitor inventory, reconcile records, and assist in regulatory submissions and audits.

Qualifications

  • Diploma or Bachelor’s degree as required or related field.
  • 1–3 years of relevant experience in LMW, customs, import/export, inventory, or logistics.
  • Good knowledge of Malaysian Customs regulations and LMW requirements.
  • Proficiency in MS Excel; ERP/WMS experience desirable.
  • Strong analytical, organizational, and problem-solving skills.
  • Ability to work independently and meet deadlines.
  • Good communication and interpersonal skills with internal and external stakeholders.

Responsibilities

  • Manage and maintain all LMW documentation, records, and filing in compliance with Malaysian Customs regulations and company policies.
  • Prepare, verify, and submit accurate LMW reports, declarations, and supporting documents within required timelines.
  • Monitor and reconcile LMW inventory records across ERP, Warehouse, Production, and Finance for accuracy and compliance.
  • Investigate inventory discrepancies and coordinate with departments for timely resolution and documentation.
  • Coordinate with internal teams to collect information for LMW reporting and regulatory submissions.
  • Prepare, review, and issue shipping and Customs documents including import/export declarations and permits.
  • Coordinate inbound/outbound shipments with freight forwarders, shipping lines, and brokers to ensure timely delivery.
  • Monitor shipment status and provide updates to stakeholders and customers.
  • Support Customs compliance activities including audits, duty and tax calculations, and post-clearance verification.
  • Monitor changes in trade regulations (SST, RCEP, MITI) to ensure ongoing compliance.
  • Perform other duties as assigned by Finance Manager or Management.

  • 1. Manage and maintain all Licensed Manufacturing Warehouse (LMW) documentation, records, and filing systems in compliance with Malaysian Customs regulations and company policies.
  • 2. Prepare, verify, and submit accurate LMW reports, declarations, and supporting documents within the required timelines to ensure regulatory compliance.
  • 3. Monitor and reconcile LMW inventory records against Warehouse, Production, Finance, and ERP records to ensure inventory accuracy and compliance with Customs requirements.
  • 4. Investigate inventory discrepancies, identify root causes, and coordinate with the relevant departments to ensure timely resolution and proper documentation.
  • 5. Coordinate with internal departments to collect, verify, and consolidate information required for LMW reporting, Customs compliance, regulatory submissions, and audit purposes.
  • 6. Prepare, review, and issue shipping and Customs documentation, including import and export declarations, permits, licenses, certificates, and other supporting documents required for Customs clearance.
  • 7. Coordinate inbound and outbound shipments by liaising with freight forwarders, shipping lines, transport providers, Customs brokers, warehouses, and relevant authorities to ensure timely and efficient delivery.
  • 8. Monitor the status of import and export shipments, proactively follow up on any delays or issues, and provide timely updates to internal stakeholders and customers.
  • 9. Support Customs compliance activities, including Customs audits, duty and tax calculations, tax exemption applications, post-clearance verification, and other regulatory requirements.
  • 10. Monitor changes in Malaysian and international trade regulations, including Licensed Manufacturing Warehouse (LMW) requirements, SST, RCEP, MITI, and Customs procedures, and ensure the company's continued compliance with all applicable regulations.
  • 11. Perform any other duties and responsibilities as assigned by the Finance Manager or Management from time to time.
REQUIREMENTS
  • 1. Diploma or Bachelor's Degree in Accounting, Finance, Business Administration, Logistics, Supply Chain Management, or a related field.
  • 2. Minimum 1–3 years of relevant experience in LMW administration, Customs compliance, import/export operations, inventory control, logistics, or a related field.
  • 3. Good knowledge of Malaysian Customs regulations, Licensed Manufacturing Warehouse (LMW) requirements, import/export procedures, SST, and trade compliance. Knowledge of RCEP, MITI permit applications, and other trade agreements will be an added advantage.
  • 4. Proficient in Microsoft Office applications, particularly Microsoft Excel. Experience with ERP systems, Warehouse Management Systems (WMS), or Customs declaration systems will be an added advantage.
  • 5. Strong analytical, organizational, and problem-solving skills with a high level of accuracy and attention to detail.
  • 6. Ability to work independently, manage multiple priorities effectively, and meet reporting as well as regulatory deadlines.
  • 7. Good communication and interpersonal skills with the ability to liaise effectively with internal departments, Malaysian Customs, freight forwarders, Customs brokers, logistics providers, and other external stakeholders.
