Job summary

CHEMI-CON (MALAYSIA) SDN BHD is seeking a Sales Coordination professional to manage end-to-end order processing and shipping coordination from Penang. Responsibilities include inputting orders, coordinating with planners, warehouses and forwarders, and ensuring on-time delivery.

The role requires strong communication, 1–2 years in sales coordination or admin, and proficiency in MS Office. Fresh graduates are welcome to apply and a team-oriented mindset is essential.

Qualifications

Responsibilities

• Input and verify purchase orders into the system.
• Coordinate with factory planners, warehouses, and freight forwarders to schedule shipments and prepare shipping docs.
• Monitor order execution to meet delivery deadlines and lead times.
• Maintain and update customer order backlog status reports.
• Communicate schedule changes and manufacturing updates to clients with proactive solutions.
• Serve as frontline contact for order statuses and shipment tracking.
• Prepare and calculate monthly sales forecasts.
• Carry out ad-hoc duties and cross-functional support tasks.
• Follow up on payments to minimize overdue receivables.

Job description

End-to-End Order Management & Shipping Coordination:

-Receive, verify, and accurately input purchase orders into the system.

-Coordinate closely with factory planners, warehouse management, and freight forwarders to schedule timely export/local shipments and prepare required shipping documentation.

-Monitor order execution to ensure delivery deadlines and customer lead times are consistently achieved.

-Maintain, analyze, and regularly update customer order backlog status reports.

-Promptly communicate schedule adjustments, delivery revisions, or manufacturing updates to clients with proactive solutions.

-Serve as the frontline inquiry point for order statuses, shipment tracking, and lead-time consultations.

-During the month end, prepare and calculate monthly sales forecast

-Carry out ad-hoc duties, special administrative assignments, and cross-functional support tasks

-Follow-up payment to ensure timely settlements and minimize overdue receivables.

Requirements

Diploma or Degree in Business Administration, Marketing, Sales, or a related field. Fresh graduates are encouraged to apply.

1–2 years of experience in sales coordination, administration, or customer service is preferred.

Strong communication and interpersonal skills.

Proficient in Microsoft Office, especially Excel, Word, and Outlook.

Good organizational skills with strong attention to detail.

Able to coordinate effectively with sales teams, customers, and internal departments.

Able to work independently as well as part of a team.

Proactive, responsible, and able to work under pressure and meet deadlines.

Good command of English, both written and spoken.

Posses own transport.
