Job summary

Safran Landing Systems Malaysia Sdn Bhd is seeking a Sales Administration Executive in Negeri Sembilan, Seremban to manage orders, invoicing and customer data on site. You will process SAP-based orders (exchange, repair, discs), coordinate delivery, and respond to inquiries in English and Bahasa Malaysia.

A diploma is required and an emphasis on accuracy, communication, and cross-functional collaboration is essential.

Qualifications

Responsibilities

• Review sales orders (exchange, repair, discs) in relation to contracts.
• Process orders in the IT system.
• Acknowledge orders and manage delivery and invoicing.
• Collaborate with Credit Management on block orders.
• Maintain customer information including shipping and import/export details.
• Respond to inquiries about orders, pricing, scheduling, and packaging.
• Provide weekly and monthly internal/customer reports.
• Participate in audits and propose process improvements.
• Adhere to safety, ethics, anti-corruption, and flight safety policies.

Job description

Perform the Sales Orders (Exchange; Repair; Discs) review in link to the contract

Proceed the orders in the IT system

Acknowledge the orders

Manage delivery and invoicing of the orders

Work in a relation with Credit Management on the block orders

Manage delivery and invoicing of the interco orders

Establish, develop, maintain and update filing, documentation control and archiving system(s). Retrieve and distribute information from files as needed.

Manage customer relationship

Maintain comprehensive and current customer information including shipping, special handling and import/export details

Answer incoming calls/inquiries in a positive, timely and professional manner.

Respond to customer inquiries as to orders, pricing, scheduling, delivery dates, and packaging. Resolve problems expeditiously.

Collaborate with appropriate division or departments to investigate and resolve complex customer concerns in timely manner

Other

Provide adequate reporting (weekly, monthly) internally and to customers

Participate to the different audits

Propose improvement on the process

Adhere and actively participate in occupational Safety, Health and Environmental policies, Energy policies procedures and activities such as I-See I-Act, GPI, etc.

Adhere and comply with Business Ethics, Anti-Corruption, Flight Safety Management System, and others relevant policies, procedures and activities.

Perform other related duties as required.

Requirements:

Proficiency in SAP with hands-on experience of SAP systems, ability to efficiently navigate and utilize SAP for daily activities is essential.

Minimum Diploma in business or other related field preferred.

Minimum 3 years working experience providing customer service in a manufacturing or related environment preferred.

Able to communicate effectively with both Internal and External customers.

Good oral and written communication skills in English and Bahasa Malaysia language. (Able to speak in Mandarin is considered as an added advantage).
