Job summary

LITAN TITAN SDN.BHD. in Malaysia is seeking a meticulous Sales Admin Assistant to support logistics coordination, sales orders, quotations, supplier enquiries, and delivery scheduling for manufacturing gear cutting operations.

You will prepare work orders, manage filing, liaise with production supervisors, and assist invoicing during accounts absences. Requirements include 3-4 years' relevant experience, proficiency in Auto Count, excellent English, and strong organizational skills.

Qualifications

• 3-4 years of experience in sales admin assistance or similar role in engineering/ manufacturing environment.
• Proficient in AutoCount accounting software.
• Excellent written and spoken English.

Responsibilities

• Coordinate logistics with customers and internal departments; issue delivery schedules.
• Prepare daily sales orders and release work orders to production for processing.
• Support sales team with official quotations and processing Sales Orders in the accounting system.
• Handle supplier enquiries (local/overseas) for materials cost and production consumables.
• Maintain filing systems for sales-related documents.
• Follow up with production supervisors and update daily delivery schedules to meet client deadlines.
• Provide invoicing support during accounts team absences.

Job description

This role involves coordinating logistics, managing sales orders, and supporting the sales team with quotations, supplier enquiries, and customer delivery schedules. You will prepare work orders for production, manage filing systems, liaise with production supervisors, and handle invoicing during account absences.

Key responsibilities

Coordinate logistics with Daily logistic CCP permit issue and delivery arrangements with customers and internal departments

Prepare daily sales orders and release work orders to the production department for processing

Support sales team to issue official quotation to clients and process Sales Orders and data entry into company Auto count accounting system

Support the sales team enquiry to suppliers (Local/Oversea) regarding materials cost and production consumables to support sales team to issue purchase orders

Manage filing systems and ensure proper organisation of sales-related documents

Liaise and follow-up with production supervisor and update Daily work order Delivery schedule to ensure clients delivery date can be on time

Daily prompt follow up to ensure meeting customers requirement on deliveries services

Back up for preparing and managing all invoices once account on leave

About you

At least 3-4 years of experience in sales admin assistance in engineering related, office support, operations, or a similar role

Experience using Auto Count accounting software and ability to start immediately and willing to work

Excellent organizational and multitasking skills

Strong attention to detail and accuracy

Good written and verbal communication skills, Excellent in English
