Job summary

Ovivo Malaysia Sdn. Bhd. is seeking a proactive purchasing professional to manage sourcing, quotations, and purchase orders, while coordinating with departments and suppliers to meet specifications and timelines.

The candidate should hold a Diploma in Business Administration or a related field with at least 3 years of relevant experience, and be capable of working independently under pressure with strong analytical and negotiation skills.

Qualifications

• Diploma in Business Administration or related field required.
• 3+ years of relevant procurement experience preferred.
• Pro-active attitude, responsive, able to multitask and detail-oriented.
• Ability to negotiate and communicate effectively with suppliers.

Responsibilities

• Handle procurement including sourcing, quotation inquiry, price negotiation, PO confirmation, and delivery planning.
• Source new suppliers and maintain good relationships with existing suppliers.
• Coordinate with departments to support purchasing per specification and timelines.
• Negotiate pricing, delivery terms, incoterms and ensure terms meet company needs.
• Issue POs after finalizing terms and ensure timely delivery.
• Track orders and ensure on-time deliveries; provide administrative support.

Job description

· To handle procurement job including sourcing, quotation inquiry, price negotiation, purchase order confirmation, delivery arrangement and goods received.

· Able to source new potential suppliers and manage good relationships with existing suppliers.

· To work closely with relevant departments and stakeholders to provide the relevant support of purchase according to specification and within the agreed timeline.

· Able to negotiate and evaluate pricing, delivery term, incoterm and competitive to company needs.

· Perform PO issuance after finalizing commercial and technical terms.

· Ensure all Purchase Orders are issued and acknowledged according to company authorization guidelines.

· Keep track of orders and make sure deliveries are on time.

· Provide administrative support in day-to-day purchasing activities updates and documentation.

· Liaise with supplier on delivery arrangements including local delivery and import shipment if required.

· Provide purchasing report and update weekly on the material pending to be delivered.

· Supplier Performance Evaluation, supplier management and audit if required.

· To prepare reports, maintain records /documents and make sure they are up to date.

· Follow up quality issues and settlement.

· Other ad hoc job duties assigned by the manager.

· Any other duties and responsibilities may be assigned by the immediate superior from time to time

Job Requirements :

· Diploma in Business Administration or related field.

· At least 3 years of relevant working experience.

· Pro‑active attitude, responsive, able to multitask well & eye for details.

· Ability to exercise initiative, work independently and under pressure.

· Good in analytical, negotiation and communication skills.

· Familiar with shipping terms and arrangements.

· Immediate availability or can start work within short notice will be of great advantage.

· Positive thinking person with a good working attitude. Able to multitask with excellent organizational skills.

· Able to work on multiply projects at any one time.

· Be resourceful and able to work independently and in a fast‑paced environment.
