Job summary

Expogaya Sdn Bhd seeks a Procurement specialist to find, evaluate, and qualify suppliers, build long-term relationships, negotiate terms, process purchase orders, and track orders to ensure on-time delivery. • Experience in procurement and supplier evaluation.

• Find, evaluate, and qualify potential suppliers and vendors.
• Build and maintain strong, long-term supplier relationships.
• Monitor supplier performance on delivery timelines, quality, and service compliance.
• Negotiate pricing, payment terms, and delivery schedules.
• Prepare, process, and issue Purchase Orders (POs).
• Track active orders, coordinate shipments, and manage logistics with forwarders or transporters.
• Ensure timely delivery of materials to prevent production or operational delays.
• Review stock and coordinate with warehouse and production to align supply with demand.
• Match supplier invoices with purchase orders and delivery notes for finance reconciliation.

Responsibilities

• Find, evaluate, and qualify potential suppliers and vendors.
• Build and maintain strong, long-term supplier relationships.
• Monitor supplier performance on delivery timelines, quality, and service compliance.
• Negotiation and Cost Optimization
• Negotiate best pricing, payment terms, and delivery schedules.
• Analyze market trends, price fluctuations, and product costs to recommend savings.
• Review cost and quality to spot opportunities for cost reduction.
• Ordering and Procurement Operations
• Prepare, process, and issue Purchase Orders (POs)
• Track active orders, coordinate shipments, and manage logistics with forwarders or transporters.
• Ensure timely delivery of materials to prevent production or operational delays.
• Inventory and Stock Coordination
• Monitor stock and inventory levels against production or operational forecasts.
• Coordinate closely with warehouse, production, and internal departments to align supply with demand.
• Assist in physical stock checks and inventory reports.
• Documentation and Financial Reconciliation
• Match supplier invoices with purchase orders and delivery notes, then submit them to the finance/accounts team.
• Maintain an accurate, audit-ready filing system for all purchasing records and contracts.
• Handle compliance documentation, import/export papers, or tax exemption forms where required.
