X-Lab Compounding Pharmacy in Malaysia is seeking an Operations & Admin Executive to support logistics, procurement, and admin tasks. Fresh graduates are encouraged to apply, with prior pharmacy exposure preferred and proficiency in CN/EN/BM languages.

Strong organizational skills and MS Office/Google Workspace proficiency are essential. You will work closely with pharmacists and suppliers to ensure accurate records, timely deliveries, and efficient office operations within a dynamic compounding

Qualifications

• Fresh graduates are encouraged to apply.
• Prior experience in retail pharmacy preferred.
• Must communicate in Chinese, English, and Bahasa Malaysia.
• Strong organizational and time-management skills.
• Proficient with Microsoft Office and Google Workspace.

Responsibilities

• Coordinate and arrange deliveries, courier services, and medication pickups to ensure timely distribution.
• Assist the head of pharmacists and pharmacists team with procurement, supplier communication, purchasing, and logistics coordination.
• Prepare quotations, purchase orders, invoices, payment claims, and maintain accurate bookkeeping records.
• Organize, maintain, and update administrative documents, files, and operational records.
• Assist in inventory management, including stock monitoring, stock reconciliation, and replenishment planning.
• Manage administrative budgets, expenses, and financial documentation related to daily operations.
• Coordinate with suppliers, courier partners and internal departments.
• Prepare reports and update spreadsheets using Microsoft Excel and Google Sheets.
