Job summary

Tivolli Design (M) Sdn Bhd is seeking a proactive Personal/Executive Assistant to support the Director with day-to-day administrative tasks, correspondence, and scheduling.

You will handle communication across English, Bahasa, and Mandarin, maintain confidentiality, track deadlines, and assist with reports and document preparation while coordinating with staff, suppliers, and external partners. This role is based in Puchong, Selangor.

Qualifications

• Strong communication in English, Bahasa, and Mandarin.
• Well organized with attention to detail and follow-up ability.
• Responsible, reliable, and discreet handling of confidential matters.
• Able to multitask and prioritize workload.
• Own transport and valid driving license.

Responsibilities

• Handle communications (WhatsApp, email, calls) and follow-ups.
• Prepare documents, reports, letters and correspondence.
• Follow up with staff, suppliers, contractors and external parties.
• Assist with admin tasks and record keeping.
• Track pending matters and remind Directors of deadlines.

Job description

Handle Whatsapps messages, emails, phone calls and follow ups when required

Prepare documents, simple reports, letters and correspondence

Follow up with staff, suppliers, contractors, and external parties on behalf of the Director

Assist with adminstrative matters, filling and record keeping

Keep track of pending matters, deadlines and remind of Directors accordingly

Handle ad-hoc personal and company related task assigned by the Director

Maintain confidentiality of company and personal information

Required:

Good communication skills in English, Bahasa, Mandarin to effectively communicate with our diverse client base and stakeholders.

Well organised, details-oriented and able to follow up independently

Responsible, reliable, and able to handle confidential matters

Able to multitask and priorities work

Possess own transport and valid driving license

Previous experience and a Personal Assistant, Executive Assistant or Administrative Assistant is preferred
