Job summary

Drum Fashion Malaysia is seeking an HR Operations Assistant to support day-to-day HR activities for the company and its retail outlets. You will handle payroll checks, attendance, and statutory contributions while maintaining accurate employee records.

You will assist in recruitment, onboarding, training coordination, and HR reporting, collaborating with outlets and departments. The role requires a Diploma in HRM and 1–2 years of HR experience in a retail context.

Qualifications

• Diploma in Human Resources Management or related field.
• 1–2 years of relevant HR experience.
• Basic knowledge of Malaysian employment laws and statutory requirements.
• Good knowledge of Microsoft Office, especially Excel and Word.
• Strong organizational and time management skills.
• Attention to detail and accuracy.
• Strong verbal and written communication skills.
• Good interpersonal skills and ability to communicate with employees at different levels.
• Able to work independently and as part of a team.
• Experience in retail or fashion industry is a plus.

Responsibilities

• Assist in day-to-day HR operations and administration for the company and retail outlets.
• Assist in monthly payroll preparation by checking attendance, overtime, leave, and allowances.
• Assist in preparation and submission of statutory contributions (EPF, SOCSO, EIS, PCB, HRD Corp).
• Maintain and update employee records and HR databases.
• Monitor staff attendance, leave, MC and absences; coordinate with outlets.
• Assist in preparing monthly HR reports including manpower, headcount and turnover.
• Assist in recruitment activities including job ads, screening, interviews, and candidate comms.
• Coordinate interview schedules and onboarding documentation for new hires.
• Assist in onboarding and orientation, system registrations, joining arrangements.
• Monitor staff confirmation dates and follow-up with supervisors.
• Prepare routine HR letters such as confirmations, transfers, promotions, resignations.
• Coordinate staff training and HR development activities.
• Handle general HR enquiries and refer complex matters to HR Manager.
• Maintain confidential filing of employee records and HR documents.
• Coordinate employee welfare activities and company events.
• Liaise with outlets to collect and verify HR information and documents.
• Support compliance with HR policies and employment requirements.
• Perform other HR duties and ad hoc tasks as required.
