Job summary

LH APEX AUTO SDN. BHD. is seeking an Operations Executive to assist the Head of Department with daily administrative and coordination tasks across multiple automotive outlets in Malaysia.

You will consolidate reports, prepare presentations, and help manage monthly expenses and audit processes. The role requires strong Excel and PowerPoint skills, excellent English, and the ability to travel between outlets.

Qualifications

• Minimum 2 years of working experience in administration, operations, reporting or related field.
• Automotive industry experience is an advantage but not mandatory.
• Strong computer skills, particularly Microsoft Excel and PowerPoint.
• Good command of written and spoken English.
• Strong coordination, follow-up and organizational skills.
• Detail‑oriented with ability to manage multiple reports and deadlines.
• Willing to travel between outlets when required.
• Possess a valid driving licence.

Responsibilities

• Assist HOD in liaising with outlets on daily administrative matters.
• Coordinate and follow up on monthly expenses and supporting documents from all outlets.
• Prepare documents, letters, memos, reports and presentations as required.
• Arrange meetings and prepare meeting materials.
• Maintain records and documentation for management reference.
• Collect and consolidate daily, weekly and monthly sales data from outlets.
• Prepare and maintain sales performance reports and relevant KPIs.
• Monitor outlet performance and highlight issues to HOD.
• Track outlet action items related to HQ requests and deadlines.
• Ensure reports and submissions are completed accurately and on time.
• Collect and consolidate service department reports from outlets.
• Monitor aftersales performance indicators and outstanding matters.
• Follow up with Service Managers on pending reports and submissions.
• Highlight significant issues or delays to HOD.
• Conduct monthly outlet audits and identify improvement opportunities.
• Prepare audit findings and monitor corrective actions with outlet managers.
• Assist with special projects, campaigns, events and management presentations.
