Job summary

Thunder Express in Malaysia seeks an Export Operations Coordinator to manage end-to-end shipments by air or sea, book cargo with airlines and freight lines, and coordinate collection, packing, warehousing and transport.

You will ensure regulatory compliance, prepare export documents, monitor schedules, and liaise with carriers, customs brokers and customers to keep everyone informed and costs optimized.

Job description

Coordinate end-to-end export shipments via air and sea freight.

Arrange cargo bookings with airlines, shipping lines, and consolidators.

Monitor shipment schedules and ensure timely cargo movement.

Coordinate cargo collection, packing, warehousing, and transportation.

Ensure shipments comply with destination country regulations.

Documentation

Prepare and verify export documentation, including:

• Packing List
• House Bill of Lading (HBL)
• Master Bill of Lading (MBL)
• House Air Waybill (HAWB)
• Master Air Waybill (MAWB)
• Certificate of Origin
• Shipping Instructions

Ensure accuracy and completeness of shipping documents.

Submit shipping instructions within carrier deadlines.

Customer Service

Serve as the primary contact for export customers.

Provide shipment status updates and proactive communication.

Handle customer enquiries, complaints, and shipment issues promptly.

Maintain strong customer relationships to ensure high service satisfaction.

Liaise with shipping lines, airlines, trucking companies, warehouses, and customs brokers.

Negotiate freight rates where applicable.

Monitor carrier performance and resolve operational issues.

Customs & Compliance

Ensure compliance with Malaysian Customs regulations and international trade requirements.

Coordinate with customs declaration teams for export clearance.

Ensure all export permits and licences are obtained where required.

Maintain compliance with company SOPs and quality standards.

Shipment Monitoring

Track shipments until final departure.

Monitor vessel schedules, flight departures, and transit times.

Resolve shipment delays and exceptions promptly.

Update customers and overseas agents on shipment progress.

Prepare customer billing instructions.

Ensure accurate costing and profitability of shipments.

Minimise operational costs while maintaining service quality.

Reporting

Maintain shipment records in the freight forwarding system.

Prepare operational reports as required.

Monitor KPIs related to shipment accuracy, turnaround time, and customer satisfaction.
